About the Role
UN Women is recruiting an Administrative Associate to join its UN System Coordination Division in Nairobi, Kenya on a full-time basis. This is a G6 FTA position that sits at the heart of the Division’s operational and administrative functions, supporting communications, budget management, procurement, human resources, and event coordination. The role requires someone with at least six years of progressive administrative experience in a large or international organization, comfortable managing multiple priorities and liaising across UN departments.
The Administrative Associate, Nairobi, Kenya, G6 FTA at UN Women reports to the Division leadership and works closely with budget focal points, procurement staff, HR teams, and senior management. You will be responsible for maintaining internal systems, preparing financial documents, organizing high-level events, and ensuring the Division’s administrative processes run smoothly. This position calls for strong organizational skills, proficiency with modern ERP systems, and the ability to handle sensitive information with discretion.
Key Responsibilities
- Deliver administrative support to the Division’s communications function, including managing internal filing systems, databases, and documentation while maintaining quality standards across outgoing materials
- Monitor the Division’s expenditure and budget performance, prepare financial estimates and planning documents, and maintain internal expenditure controls to ensure accurate voucher processing and payment verification
- Provide administrative support to recruitment processes, including preparation of Terms of Reference (TORs), and assist with procurement planning for programmes and projects
- Coordinate logistics, travel arrangements, and planning support for high-level advocacy events, inter-governmental meetings, and Division-hosted workshops, liaising with relevant UN units as required
- Maintain updated interagency lists and coordinate with Inter-Agency Network on Women and Gender Equality (IANWGE) members; support the scheduling and administration of annual and inter-sessional meetings
- Compile statistical material and background information for reports, briefs, and speeches; prepare analytical inputs and trend summaries to support Division reporting processes
- Attend meetings, record minutes, and track follow-up actions; assist in orienting interns, consultants, and new staff to relevant procedures
- Perform proofing and editing functions to ensure all documents meet required standards for grammar, format, punctuation, and style
Requirements & Qualifications
- Bachelor’s degree in Business Administration or a related field; completion of secondary education is the minimum requirement
- Minimum six (6) years of progressively responsible administrative experience, preferably within a large international corporation or UN System organization
- Proficiency with MS Office software (Word, Excel) and demonstrated experience with web-based ERP systems; experience with Oracle Cloud is desirable
- Fluency in English; knowledge of another official UN language (French, Arabic, Chinese, Russian, or Spanish) is an advantage
- Experience providing executive or front office support in a UN System environment is desirable
- Strong ability to manage multiple tasks, prioritize effectively under time constraints, and maintain confidentiality in a sensitive environment
- Demonstrated competence in data analysis, problem-solving, and clear communication; ability to work collaboratively across departments
