About the Role

UN Women is recruiting a WPS Programme Consultant, ESARO, Nairobi, Kenya at UN Women to support the Women Peace and Humanitarian Fund (WPHF) project and Regional Refugee Window (RRW) initiatives across East and Southern Africa. This is a full-time consultancy position based in Nairobi, Kenya, working within the Peace, Security and Humanitarian Response (WPS) section. The role combines administrative support, financial management, and programme coordination to ensure effective delivery of gender equality and women’s empowerment initiatives across the region.

UN Women, the United Nations Entity for Gender Equality and the Empowerment of Women, was established in 2010 to accelerate progress on gender equality objectives. The WPS Programme Consultant will be a key support function within the ESARO office, managing operational and administrative workflows that enable the policy and programme teams to deliver impact. If you have solid experience in programme coordination, financial administration, and UN systems, this Administration position in Kenya offers the chance to contribute to meaningful gender equality work at a regional level.

Key Responsibilities

  • Provide administrative and logistical support to the management of the ESARO-WPHF project, including preparation of work plans, budgets, proposals and programme implementation arrangements.
  • Assist in monitoring the implementation of the WPHF project work-plan and collect data and information on programme-related operations as requested by the Policy Advisor and Programme Analyst.
  • Manage administrative support for budgetary planning, financial tracking and recording of resources in compliance with UN Women rules and regulations, including preparation of budget revisions and requisitions in the Quantum system.
  • Support contributions management by compiling and recording contribution information, ensuring supporting documentation is properly maintained and organised.
  • Track project expenses and budgets using Quantum and Prism systems, assist in project creation, monitor unutilised funds, and support operational and financial project closure.
  • Coordinate administrative and procurement support for conferences, workshops, missions and training events under the WPHF/RRW project, including vendor follow-up and logistics coordination.
  • Process travel claims and coordinate travel logistics for women peace advocates and project beneficiaries requiring mobility support.
  • Maintain digital filing systems for correspondence, documents and project records, ensuring they are current and properly archived for easy retrieval.
  • Support knowledge management activities by assisting in development of communications materials, documenting lessons learned, preparing meeting reports and contributing to policy briefs under guidance of senior staff.

Requirements & Qualifications

  • Bachelor’s degree or equivalent qualification in social sciences, humanities or a related field (completion of secondary education is the minimum requirement).
  • At least 6 years of progressively responsible work experience in monitoring, reporting and/or evaluation functions.
  • Demonstrated experience working in a computer environment with proficiency in multiple office software packages.
  • Proven experience supporting a team within an organisational setting.
  • Experience working with UN agencies in East and Southern Africa is an asset.
  • Familiarity with modern web-based ERP systems, preferably Oracle Cloud, is desirable.
  • Strong understanding of gender equality issues and commitment to diversity and inclusion.
  • Excellent written and verbal communication skills, with ability to prepare clear reports and documentation.

What to Expect

  • This is an office-based consultancy position in Nairobi; the role may involve occasional travel to support regional activities and attend coordination meetings.
  • You will work closely with the Policy Advisor WPS, Programme Analyst and other WPS team members on a collaborative basis, requiring attention to detail, accountability and professional conduct.
