Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

How Long We Retain Your Data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What Rights You Have Over Your Data

Google Gmail Integration

JVN Smart Apply offers an optional Gmail integration that allows users to send job applications directly from their personal Gmail account.

Data Accessed: We request access to the gmail.send scope only, which allows us to send emails on your behalf. We do not access, read, or index your Gmail inbox, contacts, or any other Gmail data.

Data Usage: Your Gmail access is used solely to send job application emails to employers on your behalf when you click “Apply.” The email contains your CV and a generated cover letter addressed to the employer.

Data Sharing: We do not share your Gmail data or OAuth tokens with any third parties. The only emails sent are job applications to employer email addresses listed on jobvacanciesnow.com.

Limited Use Policy: JVN Smart Apply’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data accessed via the gmail.send scope is used exclusively to send job application emails on your behalf. This data is not used for advertising, profiling, market research, or any purpose unrelated to sending job applications. We do not allow humans to read your Gmail data unless you have given us explicit permission or it is necessary for security purposes.

Data Storage & Protection: OAuth tokens are stored securely in our encrypted database. Access tokens are short-lived and refreshed automatically. Refresh tokens are stored in a protected database accessible only to the application.

Data Retention & Deletion: OAuth tokens are retained only while you have Gmail connected to your JVN Smart Apply account. You can disconnect Gmail at any time from your profile page, which immediately deletes all stored tokens. You may also request deletion by emailing [email protected].

Data Protection Mechanisms

JVN Smart Apply implements the following technical and organizational measures to protect your sensitive data.

Encryption at Rest

  • OAuth 2.0 refresh tokens are stored using AES-256 encryption within our database.
  • CV and resume files are stored in server directories with restricted filesystem permissions and are not publicly accessible via URL.
  • Sensitive database fields are encrypted at the application layer before storage.

Encryption in Transit

  • All data transmitted between your browser and our servers is protected using TLS 1.2 or higher (HTTPS). HTTP connections are redirected to HTTPS automatically.
  • API calls to Google’s OAuth and Gmail services are made exclusively over HTTPS.

Access Controls

  • CV files are stored in user-specific directories and are accessible only to the authenticated account owner.
  • OAuth tokens are never exposed in URLs, browser history, application logs, or error messages.
  • Database access is restricted to the application server; direct external access is blocked at the firewall level.
  • Server access is limited to authorized administrators via SSH key authentication only.

Scope Minimization (Google API)

  • We request only the gmail.send scope — the minimum required to send application emails on your behalf.
  • We do not request access to Gmail read, modify, delete, labels, settings, or any other Google API scopes.
  • Our use of Google user data is limited to the single purpose of sending job application emails as directed by you.

Token Lifecycle Management

  • Access tokens are short-lived and refreshed automatically by the application.
  • Refresh tokens are invalidated and deleted immediately upon disconnecting Gmail from your account.
  • You may revoke all Google access at any time by visiting https://myaccount.google.com/permissions and removing JVN Smart Apply.

Incident Response

  • In the event of a data breach involving your personal data or OAuth tokens, we will notify affected users by email within 72 hours of becoming aware of the incident.
  • Compromised tokens will be invalidated immediately and users prompted to re-authenticate.
