About the Role

Mini Group is recruiting a Procurement Officer to join its commercial operations team in Kenya. This is a full-time position reporting to the Commercial Manager, where you will manage end-to-end procurement operations, oversee landed cost calculations, ensure compliance with import regulations, and coordinate with suppliers across the organization. The role combines operational procurement management with financial accuracy and regulatory oversight — essential functions for companies managing inventory, importation, and distribution across multiple channels.

Key Responsibilities

  • Identify and evaluate suppliers for goods and services, ensuring selections meet quality standards, cost targets, and compliance obligations before placement of orders.
  • Create and process purchase orders through the approval workflow, maintaining accuracy and timeliness in order documentation.
  • Maintain an active import register that tracks incoming shipments, supplier performance, and key logistics milestones throughout the supply chain.
  • Calculate landed costs for all inbound shipments, including freight charges, customs duties, insurance, and other ancillary expenses to ensure accurate product costing.
  • Monitor and update SKU costing models, reviewing cost structures regularly to detect variances and ensure financial accuracy in inventory valuation.
  • Coordinate with the Group imports team to track shipments, verify compliance with Kenyan import regulations, and manage all customs documentation and clearance processes.
  • Confirm KEBS certification status and verify proper product labeling compliance before goods are received into warehouse inventory.
  • Prepare pricing schedules and compile product documentation packages for retail partners, supporting commercial negotiations and account-specific delivery requirements.
  • Record and maintain all procurement transactions in the ERP system, including purchase orders, goods receipts, and batch/lot tracking information.
  • Work with Finance to process supplier invoices, obtain payment approvals, and reconcile procurement accounts monthly.

Requirements & Qualifications

  • Bachelor’s Degree in Supply Chain Management, Procurement, Business Administration, or a closely related field.
  • 3–5 years of direct experience in procurement roles, with preference given to candidates from FMCG, importation, or distribution sectors.
  • Hands-on experience with ERP systems and procurement reporting tools; ability to navigate databases and generate reports independently.
  • Strong working knowledge of procurement processes, Kenyan import regulations, customs procedures, and supply chain operations.
  • Demonstrated competency in cost analysis, landed cost calculations, and numerical problem-solving.
  • Meticulous approach to documentation, record-keeping, and data entry; ability to identify and correct discrepancies in procurement records.
  • Proficiency in managing supplier relationships, communicating expectations clearly, and resolving supply chain disputes.
  • High standards of personal integrity, accountability, and composure when managing competing priorities and tight deadlines.
