About the Role
Medecins Sans Frontieres (MSF) is recruiting a Base and Facilities Officer to manage all logistics and infrastructure operations at the organisation’s Nairobi base. This is a freelance position suited to logistics professionals with hands-on experience in fleet management, facilities maintenance, and supply chain coordination. You will oversee vehicle operations, track fuel and equipment consumption, supervise repairs and maintenance work, and ensure all MSF premises and systems operate to organisational standards.
MSF is an international humanitarian organisation that delivers medical aid in conflict zones and areas affected by disease outbreaks. The Base and Facilities Officer role is critical to supporting field operations by maintaining reliable transport, secure facilities, and functional equipment across the organisation’s Nairobi operations.
Key Responsibilities
- Plan and track all vehicle movements, monitor individual trips, and enforce security measures for the SKID fleet and broader MSF operations.
- Monitor fuel, lubricant, and supply consumption across all facilities including office, warehouse, and guesthouses; update records on designated tracking systems.
- Conduct regular inspections of MSF premises to assess maintenance needs for plumbing, electrical systems, roofing, walls, and general security infrastructure.
- Supervise contracted technicians and labourers to carry out repairs and maintenance on generators, cold chain equipment, lighting systems, and facility infrastructure.
- Request and track vehicle maintenance through the appropriate channels; manage vehicle documentation, insurance, and licensing with logistics support teams.
- Manage procurement of supplies needed for warehouse and guesthouse operations; follow up on orders and verify receipt and condition of goods.
- Conduct quarterly asset inventories across all SKID locations and track equipment on the asset management system; coordinate disposal of obsolete items with the logistics coordination team.
- Support compliance activities for the SKID pharmaceutical distribution license and occupational safety requirements as directed by relevant team leads.
Requirements & Qualifications
- Secondary school certificate (KCSE) or Diploma in Logistics or related field.
- Minimum 2 years’ experience in logistics, with demonstrated work in maintenance, facility rehabilitation, electrical systems, IT infrastructure, or fleet management.
- Fluency in English and Kiswahili (spoken and written).
- Competence with computer systems and practical knowledge of radio communications equipment.
- Ability to manage multiple maintenance and procurement activities concurrently while maintaining accurate records.
- Previous experience working with non-governmental organisations is desirable.
- Commitment to MSF principles of humanitarian aid delivery and ability to work within established security and operational guidelines.
