About the Role

Micro Enterprises Support Programme Trust (MESPT) is recruiting a Procurement Assistant to join its procurement team on a full-time basis. This is a hands-on position based in Kenya that supports the day-to-day acquisition of goods and services for the organisation. The Procurement Assistant will work within a structured framework that prioritises transparency, cost-effectiveness, and strict compliance with both internal policies and donor regulations.

The Procurement Assistant at Micro Enterprises Support Programme Trust (MESPT) role sits at the operational heart of the supply chain function. You will handle requisitions, manage bidding processes, coordinate with suppliers, and ensure all procurement activities are properly documented and auditable. Key Responsibilities

  • Process daily procurement requisitions and ensure timely movement through the approval pipeline.
  • Prepare, publish, and distribute procurement notices, Requests for Quotation (RFQs), Requests for Proposal (RFPs), and all associated bidding documentation.
  • Receive, open, and systematically record all bids and proposals in line with established procurement protocols.
  • Support the evaluation of bids and proposals by coordinating with stakeholders and maintaining fairness and transparency throughout the process.
  • Compile bid analysis and evaluation reports for senior management review and sign-off.
  • Generate Local Purchase Orders (LPOs) and assist in contract preparation and finalisation.
  • Communicate procurement results to all bidders in a timely and professional manner.
  • Verify delivered goods against purchase orders and specifications; coordinate asset tagging and inventory recording with the administration team.

Supplier and Vendor Management

  • Maintain and regularly update the vendor register and supplier database with current information.
  • Liaise with vendors to monitor delivery schedules and address any supply chain delays.
  • Flag supplier performance issues to the Procurement Officer for resolution.

Compliance and Documentation

  • Ensure all procurement activities comply with MESPT internal policies, donor requirements, and relevant regulations.
  • Keep accurate and comprehensive records of all procurement actions for audit trails and organisational reference.
  • Prepare supporting documentation for internal audits and external donor reviews.

Requirements & Qualifications

  • Bachelor’s Degree or Diploma in Procurement, Purchasing, Logistics, Supply Chain Management, or a related field.
  • Professional certification such as CIPS (Chartered Institute of Procurement and Supply) or KISM (Kenya Institute of Supplies Management) is advantageous.
  • A minimum of 2 years of relevant experience in procurement or supply chain operations, ideally within an NGO or non-profit environment.
  • Practical knowledge of ERP systems (Navision is preferred) or comparable operational software platforms.
  • Advanced proficiency in Microsoft Office applications, particularly Excel for data analysis and reporting.
  • Clear understanding of procurement processes, tender management, and regulatory compliance requirements.
  • Strong organisational skills and ability to manage multiple tasks concurrently without compromising accuracy.
  • High level of attention to detail and commitment to maintaining accurate documentation.
