About the Role

Salix Data is recruiting for an Executive Assistant to support a US-based executive overseeing multiple business functions including Operations, Sales, Product Development, Marketing, and Logistics. This is a full-time position based in Nairobi. You will operate as a trusted extension of the executive’s office, managing priorities, filtering communications, coordinating schedules, monitoring logistics activity, and ensuring critical initiatives remain on track. The successful candidate will be exceptionally organized, commercially aware, and capable of working with minimal supervision.

Salix Data operates with a global footprint, maintaining headquarters and sales operations in Cincinnati, Ohio, alongside service facilities in Kenya and India. The company has partnered with over 2,500 fast-growing businesses across the region, including all local Fortune 500 companies and regional leaders such as Cincinnati Children’s Hospital and The Columbus Dispatch. This Executive Assistant at Salix Data position offers direct exposure to executive-level decision-making and exposure to international business operations.

Key Responsibilities

  • Manage the executive’s inbox by triaging routine and notification emails—banking alerts, HR/payroll updates, system notifications, and SaaS communications—allowing only genuinely critical items to reach the executive’s attention.
  • Filter routine communications, categorize emails by urgency and significance, and escalate only matters requiring direct executive action.
  • Assist with calendar scheduling, travel planning, document preparation, and process documentation relevant to the executive’s priorities.
  • Prepare structured daily executive briefings that highlight decisions, risks, opportunities, and priorities, providing clarity and actionable insight rather than forwarding individual communications.
  • Monitor shipment schedules, freight activity, and customs status across all carriers and brokers; track and flag exceptions, delays, or documentation issues as they arise.
  • Coordinate directly with suppliers, freight partners, and internal teams to resolve flagged logistics issues.
  • Own data entry and record-update projects in NetSuite and other business systems, beginning with HTS code and duty rate updates.
  • Conduct ad hoc research projects as required by the executive.

Requirements & Qualifications

  • Bachelor’s degree in Business, Commerce, Operations, Supply Chain, Communications, or a related field.
  • Minimum 3 years’ experience supporting senior leaders, founders, CEOs, managing directors, or executive teams.
  • Experience working with international clients, multinational organizations, or global teams.
  • Strong proficiency in Microsoft 365, including Outlook, Excel, Teams, Word, PowerPoint, and SharePoint.
  • Hands-on experience with ERP systems such as NetSuite, SAP, Oracle, or comparable platforms.
  • Demonstrated experience with project management tools such as Microsoft Planner, Asana, Click Up, Monday.com, or Trello.
  • Proven ability to coordinate projects, manage workflows, and track business initiatives to completion.
  • Exceptional written and verbal communication skills; comfort handling sensitive and confidential information.

Preferred Experience

  • Direct support of a CEO, Founder, President, or Managing Director.
  • Prior experience supporting US-based executives or multinational organizations.
  • Exposure to logistics, manufacturing, distribution, supply chain, or operations environments.
  • Experience creating executive reports, dashboards, and management updates.
  • Advanced Excel and business reporting capabilities.
