About the Role
Salix Data is recruiting for an Executive Assistant to join its Kenya-based team on a full-time basis. This position sits at the administrative heart of the organisation, supporting senior leadership through calendar management, travel coordination, and high-level stakeholder communication. The Executive Assistant at Salix Data will report directly to executive leadership and handle responsibilities critical to daily operations and strategic initiatives.
The successful candidate will demonstrate exceptional organisational skills, discretion with confidential information, and the ability to manage competing priorities without compromising quality. Experience supporting C-level executives is essential, as is familiarity with the Kenyan business context.
Key Responsibilities
- Manage executive calendars with precision, scheduling and coordinating meetings with internal teams, clients, and external partners to maximise time allocation
- Arrange domestic and international travel logistics, including flight bookings, hotel accommodation, visa coordination, and itinerary preparation
- Prepare, edit, and proofread executive correspondence, presentations, reports, and formal documentation for accuracy and professional presentation
- Plan and oversee meetings, conferences, and corporate events from conception through execution, managing all logistics, catering, and venue requirements
- Act as a communication hub between executives and staff, clients, and external organisations, ensuring professionalism and clear information flow
- Handle sensitive and confidential executive communications with absolute discretion and integrity
- Screen, prioritise, and respond to incoming calls, emails, and written correspondence, routing items appropriately and ensuring timely responses
- Establish and maintain organised filing systems—both digital and paper-based—ensuring documents are easily retrievable and properly catalogued
- Execute special assignments and ad hoc projects as requested, adapting to changing priorities and business needs
Requirements & Qualifications
- Bachelor’s degree in Business Administration or related field (preferred); 1–2 years’ experience as an Executive Assistant or in a similar role supporting C-level executives
- Strong verbal and written communication skills with the ability to articulate clearly in formal and informal settings
- Advanced organisational abilities, including the capacity to manage multiple tasks simultaneously without loss of detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Proven ability to manage confidential information ethically and maintain professional discretion in sensitive situations
- Demonstrated experience with travel booking, calendar systems, and executive scheduling
- Excellent interpersonal skills and ability to work with people at all organisational levels
- Familiarity with Nairobi’s business environment and local customs is advantageous
