The Kenya Institute of Public Health (KIPH) is recruiting an Administrative & Finance Officer to manage both operational and financial functions across the organisation. This full-time position in Kenya combines front-office coordination, document management, and financial administration while providing executive support to the CEO and senior leadership team. As an Administrative & Finance Officer Job KIPH, you will be the backbone of daily operations—handling everything from visitor reception and office inventory to payment processing and financial record-keeping. You will report directly to senior management and coordinate across departments to ensure smooth administrative workflows and accurate financial documentation.
Key Responsibilities
- Manage front office and reception operations, including visitor management and phone enquiries
- Maintain and organise records and documents according to institutional standards and compliance requirements
- Prepare, review, and support correspondence and contract-related administrative tasks for leadership
- Monitor office supplies inventory, place orders, and manage stock levels to prevent shortages
- Process payments, invoices, and financial transactions with accuracy and timeliness
- Maintain detailed financial records and prepare reports for management review
- Provide general administrative support to the CEO and management team as requested
Requirements & Qualifications
- Diploma in Business Administration, Marketing, Project Management, Business IT, or a related discipline
- CPA Part II qualification (mandatory)
- Minimum 3 years of administrative or executive assistant experience within an academic institution or research organisation
- Certificate in Public Relations, Customer Service, or Artificial Intelligence (desirable)
- Digital marketing experience (advantageous)
- Proficiency with office management software and financial systems
- Strong organisational skills and attention to detail in record-keeping and financial documentation
