About the Role
Bowmans is recruiting a full-time Administrative Assistant to join the Tax practice in Kenya. This position reports to the Tax Partners and Senior Associates, providing essential administrative, secretarial, and operational support that directly impacts the efficiency and delivery standards of the department. You will be the backbone of day-to-day operations, managing schedules, coordinating communications, handling client interactions, and ensuring all documentation meets the firm’s rigorous standards.
This is a full-time role based in Kenya, suited to someone with 5–8 years of administrative or secretarial experience, ideally from a professional services, tax, audit, or law firm background. The successful candidate will combine strong organisational skills with the discretion and professionalism required in a legal environment.
Key Responsibilities
- Manage calendars and coordinate meetings for Partners and Senior Associates, including scheduling internal and external appointments and preparing agendas and minutes.
- Handle tax registration and deregistration matters, liaising with external clerks on compliance issues such as stamp duty exemptions and follow-up actions.
- Serve as the primary contact for clients and external stakeholders, ensuring timely and professional communication, and coordinating client calls, meetings, and follow-ups.
- Prepare, format, and finalise client correspondence including letters, reports, and court or tribunal documents, ensuring compliance with firm standards for accuracy and presentation.
- Assist with filing court and tribunal documents via the judiciary online portal, managing physical filing systems, and compiling document bundles with proper pagination and indexing.
- Monitor and prepare draft invoices, billing summaries, and financial reports; coordinate with the finance team on invoicing queries and document dispatch.
- Maintain matter lists, client databases, and contact records, and support the preparation of internal status reports and performance summaries.
- Assist in preparing pitch documents, capability statements, and marketing materials; support the organisation of client events, seminars, and training sessions.
Requirements & Qualifications
- Diploma or undergraduate degree in Business Administration, Finance, Commerce, Secretarial Studies, or a related field.
- 5 to 8 years of proven administrative or secretarial support experience, preferably within a corporate tax, audit, or law firm environment.
- Demonstrated experience opening new client files and maintaining both physical and digital record-keeping systems.
- Strong ability to follow structured workflows and document processes with meticulous attention to detail.
- Proficiency in managing multiple tasks simultaneously in a high-pressure environment while maintaining accuracy and meeting deadlines.
- Willingness to learn new software tools, including the firm’s financial system (3E).
- Professional demeanour with strong interpersonal and written communication skills, coupled with discretion and integrity.
- Self-motivated approach with a team-oriented mindset and commitment to supporting the firm’s objectives.
