About the Role
City Eye Hospital is recruiting a Human Resources & Administration Assistant to join its team in Nairobi. This is a full-time position supporting the Human Resources and Administration Department with a focus on employee records management, recruitment coordination, payroll administration, and facility operations. The role sits at the intersection of HR operations and administrative functions, requiring someone who can manage multiple priorities with accuracy and professionalism.

As a Human Resources & Administration Assistant, you will be instrumental in maintaining the HR infrastructure and administrative processes that enable the hospital to operate smoothly.
Key Responsibilities
- Maintain and update employee records in the HR Information System, ensuring all documentation is accurate, properly filed, and securely stored while upholding strict confidentiality standards.
- Support recruitment activities by posting vacancies, scheduling candidate interviews, coordinating interview logistics, conducting reference checks, and preparing onboarding documentation for new employees.
- Process leave applications, monitor attendance records through biometric systems, maintain leave balance reports, and follow up on attendance discrepancies with employees and supervisors.
- Compile payroll data including new hires, staff exits, leave deductions, overtime, and salary adjustments; prepare payroll input reports for Finance and respond to employee payroll inquiries.
- Coordinate internal and external training activities, maintain training attendance records, track mandatory training completion, and support NITA training administration and reimbursement documentation.
- Supervise housekeeping staff, conduct daily inspections of hospital and office areas to ensure cleanliness and safety standards, and coordinate facility repairs and maintenance activities.
- Manage petty cash according to company policy, process authorized payments, maintain transaction records, and prepare reconciliation and replenishment reports.
- Assist in coordinating workplace health and safety activities, maintain safety records and incident logs, support safety awareness programs, and follow up on corrective actions from inspections.
Requirements & Qualifications
- Bachelor’s degree in Human Resource Management, Business Administration, Social Sciences, or a related field; HND or professional certificate qualifications are also acceptable.
- 1–3 years of experience working in a Human Resources and/or Administration role in a similar environment.
- Membership in good standing with a relevant professional regulatory body such as IHRM (Institute of Human Resource Management Kenya).
- Proficiency with HR Information Systems and payroll administration processes.
- Strong written and verbal communication skills with the ability to handle sensitive employee information professionally.
- Ability to work both independently and collaboratively within a team, managing multiple tasks and meeting agreed timelines.
- Demonstrated commitment to confidentiality, integrity, and professional courtesy in all workplace interactions.
