About the Role

Corporate Staffing Service is recruiting an HR & Administration Officer to join their growing group of companies in Nairobi. This is a full-time position designed to support human resources operations, recruitment workflows, employee onboarding, and office administration functions. The successful candidate will manage HR processes, maintain employee records, coordinate staff activities, and ensure smooth day-to-day administrative operations across the organisation.

The role sits at the intersection of HR operations and administrative management, requiring someone who can handle compliance, record-keeping, and staff coordination with equal competence. You will report to senior management and work across multiple business units within the group. Key Responsibilities

  • Manage end-to-end recruitment activities including vacancy postings, candidate shortlisting, interview coordination, employment offer processing, and new employee induction programmes.
  • Maintain accurate employee records, personnel files, employment contracts, and all HR documentation in line with company policy and data protection requirements.
  • Track staff attendance, process leave applications, maintain leave registers, and manage HR database records with precision.
  • Support performance appraisal cycles by collecting performance data, maintaining review documentation, and tracking employee performance records.
  • Coordinate employee welfare programmes, staff engagement initiatives, and internal communications to support workplace morale and cohesion.
  • Oversee day-to-day office administration including procurement of office supplies, stationery inventory management, facilities coordination, and asset tracking.
  • Assist in procurement activities by managing supplier relationships, processing purchase requisitions, and monitoring stock levels.
  • Ensure implementation and enforcement of HR policies, procedures, and administrative guidelines across all business units.
  • Establish and maintain filing systems for HR and administrative records, ensuring proper organisation, confidentiality, and retrieval accessibility.

Requirements & Qualifications

  • Bachelor’s Degree in Human Resource Management, Business Administration, or a related discipline.
  • Minimum 5 years of professional experience in human resources, recruitment, employee onboarding, office administration, records management, and staff coordination.
  • Professional HR certification such as CHRP or an equivalent credential (advantageous).
  • Working knowledge of Kenyan labour laws, HR practices, and standard administrative procedures.
  • Demonstrated experience in a multi-business or SME environment (preferred).
  • Competency in Microsoft Office applications and familiarity with HR information systems software.
  • Strong organisational ability, written and verbal communication skills, and interpersonal effectiveness.
  • High standards of integrity, discretion regarding confidential information, and meticulous attention to detail.
  • Capacity to manage multiple tasks simultaneously, prioritise workload independently, and meet deadlines.
