The Human Resources Assistant (Multiple Positions), G6 at United Nations Office at Nairobi (UNON) supports the smooth operation of personnel administration, benefits management, and compliance across the organization.

Key Responsibilities

  • Execute onboarding procedures for newly selected candidates, complete personnel action forms, prepare appointment letters, track contract end dates, and manage contract renewal applications.
  • Process temporary and permanent staff transfers and associated administrative transactions, including those stemming from inter-agency collaboration arrangements.
  • Manage separation procedures for departing staff, including processing of separation-related personnel actions and off-boarding documentation.
  • Support staff by advising on benefits and entitlements documentation, supplying template forms, validating submissions for accuracy, and following up on incomplete or incorrect entries before system processing.
  • Maintain staff personal records and administer entitlements relating to family members and dependents according to UN Common System standards.
  • Respond to staff inquiries regarding benefits and entitlements, offering guidance based on published UN policy frameworks.
  • Review supporting documents and record entitlement actions in the ERP system; process travel requests including home leave, family visits, and education travel in line with organizational procedures.
  • Examine and authorize attendance and leave requests (parental, sick, special, Rest and Recuperation); flag discrepancies and escalate to supervisors or the Operational Support Desk as needed.
  • Track completion of annual declarations, health and life insurance submissions, and pension fund documentation, following up where required.
  • Extract, validate, and reconcile HR data from Umoja and related platforms to support analysis, reporting, and decision-making; identify gaps and areas needing management review.
  • Manage HR tracking systems and keep personnel records current across all databases.
  • Support data visualization, web content updates, and creation of informational materials for internal and external audiences.
  • Participate in HR projects and data cleansing initiatives by independently auditing records, correcting inconsistencies, updating system entries, coordinating with internal teams, and delivering reliable project outcomes.
  • Mentor and oversee junior team members within the human resources section.

Requirements & Qualifications

  • Secondary school certificate or equivalent qualification required.
  • Training or certification in human resources management or administration is preferred.
  • A minimum of seven (7) years of progressive experience in human resources management, administrative services, or equivalent field. Candidates holding a first-degree university qualification may reduce this requirement by two years.
  • At least five (5) years of professional experience administering staff benefits and entitlements for internationally recruited personnel within the UN Common System or comparable international organizations.
  • At least two (2) years of hands-on experience with Enterprise Resource Planning systems such as Umoja or SAP is desirable.
  • One (1) or more year of experience in data analytics or related discipline is desirable.
  • Demonstrated knowledge of UN human resources regulations, procedures, and HR systems is advantageous.
