About the Role
Peoplelink Consultants Ltd is recruiting a Front Desk Admin(Real Estate) to join the team in Nairobi. This is a full-time position managing the reception function for the real estate division, handling all customer touchpoints from initial inquiry through to guest departure. You will be the first point of contact for prospective clients and guests, processing bookings, managing reservations, and coordinating with internal teams to deliver a smooth customer experience.

Key Responsibilities
- Receive and log booking inquiries across phone, email, WhatsApp, walk-in visits, and online channels, prioritizing each according to urgency.
- Deliver clear and professional information to prospective clients, answering questions about unit availability, rates, and facilities.
- Enter, update, and retrieve reservations using the company’s booking management platform, ensuring accuracy at all stages.
- Keep detailed records of bookings, occupancy schedules, and guest contact information, maintaining data integrity in the system.
- Track unit availability in real time, adjusting rental rates and inventory counts as occupancy levels change.
- Coordinate check-in and check-out procedures with guests to guarantee a hassle-free arrival and departure experience.
- Generate booking confirmations, invoices, receipts, and occupancy reports using the management system, ensuring all documents are accurate and timely.
- Work with housekeeping and maintenance teams to confirm that units are clean, functional, and ready for incoming guests.
- Address guest concerns and service complaints with professionalism and speed, resolving issues or escalating where necessary.
- Maintain front office documentation and perform general administrative tasks to support daily operations.
- Assist in marketing initiatives by promoting available properties through online channels and listing platforms.
Requirements & Qualifications
- Diploma or Bachelor’s degree in Business Administration, Hospitality Management, Real Estate, or a closely related discipline.
- A minimum of 2 years of front office administration, reservations, hospitality, or customer service experience.
- Demonstrated proficiency with property management systems (PMS), booking platforms, or reservation software—this is highly valued.
- Solid working knowledge of Microsoft Office suite, including Word, Excel, and Outlook.
- Strong written and verbal communication skills; ability to compose professional emails and engage politely with diverse clients.
- Proven organizational ability to handle multiple bookings, inquiries, and administrative tasks simultaneously without sacrificing accuracy.
- Customer service orientation with a track record of resolving complaints and maintaining positive relationships.
