About the Role

Kuehne + Nagel is recruiting a Receptionist for its Nairobi office on a full-time basis. This is an Administration position in a global logistics organisation with operations across more than 1,200 locations in over 100 countries. Key Responsibilities

  • Answer, screen, and route incoming calls to the appropriate departments with professionalism; make outgoing calls as required by the business.
  • Monitor telephone systems continuously and report any technical faults or issues to the IT department to ensure uninterrupted communication.
  • Maintain a daily log of all outgoing calls and manage an up-to-date contact database for organisational reference.
  • Receive and process incoming and outgoing courier deliveries and mail, including tracking, documentation, and timely dispatch to destinations.
  • Brief visitors on safety and security protocols upon arrival and notify their host employees of their presence.
  • Record incoming messages accurately and forward them to the correct recipients via email or Microsoft Teams as appropriate.
  • Ensure the reception area remains professionally staffed, clean, and welcoming at all times, including during lunch breaks, weekends, and public holidays.
  • Track courier bag dispatch and report any delays or delivery challenges to management.

Requirements & Qualifications

  • Bachelor’s Degree in Business Administration or equivalent qualification (BA/BSc/HND); a strong foundation in organisational management and business operations is essential.
  • 2–5 years of hands-on experience in administrative support roles, ideally in fast-paced office environments handling multiple tasks simultaneously.
  • Demonstrated proficiency in general office duties, including professional correspondence, email communication, and message forwarding with accuracy and discretion.
  • Proven experience coordinating incoming and outgoing mail and parcels, with knowledge of tracking systems and dispatch procedures aligned to organisational standards.
  • Competence in visitor reception and induction processes, with the ability to maintain a professional front-desk presence and uphold security protocols.
  • Strong telephone etiquette and communication skills, with the ability to handle both routine and sensitive enquiries professionally.
