You will be the first point of contact for clients and callers, while also handling backend administrative duties including data entry, document verification, and compliance recording. Key Responsibilities
- Maintain reception areas in clean, orderly condition and manage the display television and reading materials (brochures and company profiles) at the front desk
- Answer and direct incoming telephone calls to the correct departments including sales, finance, accounts, and administration; maintain familiarity with staff extension numbers and ensure all communication equipment functions properly
- Record all visitor check-ins, walk-in clients, and telephone inquiries in both a physical reception log and Excel spreadsheet; compile daily reporting summaries for management review
- Manage the reception of customer vehicles, verify vehicle details and condition, complete and submit vehicle checklists to relevant departments for job card processing
- Handle casual worker administration by recording names, retaining identification documents, issuing workshop passes, preparing contracts, and processing payments within the same working day
- Perform general office support tasks including photocopying, scanning, laminating, and verification of received documents before routing them to the appropriate staff members
- Manage and maintain visitor safety equipment including helmets and reflectors; track complaints and operational issues that occur during working hours
- Take meeting minutes when required and distribute to relevant parties; switch equipment on and off to conserve electricity; ensure water and glasses are available at reception
- Complete any additional duties assigned by management within agreed timeframes
Requirements & Qualifications
- Secondary school education or equivalent qualification required; further formal training in administration or customer service is advantageous
- Demonstrated experience in reception duties, administrative support, or customer-facing roles in an office environment
- Proficiency with Microsoft Excel and basic computer literacy for data entry and document processing
- Strong organisational skills with ability to manage multiple priorities, maintain accurate records, and meet daily deadlines
- Excellent telephone communication and interpersonal skills; ability to direct callers professionally and handle enquiries courteously
- Attention to detail when recording information, verifying documents, and compiling reports for management
- Willingness to undertake varied administrative tasks and adapt to changing operational needs
