About the Role
The Administrative and Financial Support Assistant at United Nations Environment Programme (UNEP) is a full-time position based in Kenya. This role sits at the intersection of programme administration and financial compliance, supporting the Regional Coordinator and the UN-REDD Administrative Officer across a range of operational functions. You will be responsible for ensuring that legal agreements, financial documentation, and human resource processes align with United Nations standards and procedures.
UNEP works on environmental challenges at the global and regional level. As an Administrative and Financial Support Assistant at United Nations Environment Programme (UNEP), you will be an essential part of the team that keeps projects on track and compliant with UN regulations. This is an operational role suited to candidates with strong organisational skills and experience in finance, accounting, or administrative services within an international setting.
Key Responsibilities
- Prepare and monitor legal agreements and instruments in coordination with implementing partners, reviewing documents for compliance with UN rules before submission for FMO approval, and managing reference number requests and banking detail submissions.
- Coordinate programme and project planning activities with the UN-REDD Administrative Officer, tracking proposal status and ensuring all financial documentation is completed and routed for timely approval.
- Support human resource administration including staff recruitment, contractor placement, contract extensions, job classifications, staff separations, and training activities, maintaining consistency with UN procedures and processing all personnel actions in the Umoja ERP system.
- Organise and provide technical support for meetings and events, including virtual and hybrid formats, and manage event logistics such as security liaison and participant registration as required.
- Manage travel requests and approvals for staff, consultants, and meeting participants, ensuring timely allowance disbursement, accurate expense reporting, and DSA cash card procurement coordination.
- Process and file legal compliance documents including expenditure reports, progress reports, final reports, and audit statements, and prepare payment requests for administrative processing.
- Perform additional administrative duties including meeting organisation and preparation of meeting minutes.
Requirements & Qualifications
- High school diploma or equivalent as a minimum educational qualification.
- First-level university degree in finance, accounting, business administration, public administration, or a related field is desirable.
- A minimum of five years of professional experience in finance, budgeting, accounting, administrative services, audit, or a closely related area.
- Prior experience working for the United Nations or other international organisations is considered an advantage.
- Demonstrated proficiency with computer systems including Microsoft Excel and the full Microsoft Office suite.
- Strong planning and organisational capabilities with meticulous attention to detail and the ability to manage multiple competing tasks in a methodical and timely manner.
- Excellent written and oral communication skills with the capacity to work effectively in multicultural teams across different geographical locations and functional areas.
