Responsibilities:

  • Oversee the efficient functioning of booking operations, including maintaining booking databases, confirming availabilities, and coordinating with guests and property owners.
  • Regularly update property information, rates, and facilities on the company website to ensure accuracy and relevance for potential guests.
  • Respond promptly and professionally to booking inquiries via email and telephone, providing detailed information and assistance to potential guests.
  • Generate and send invoices to guests and properties, tracking payments and following up on outstanding balances to ensure timely transactions.
  • Collaborate with the Reservations Team, Accountant, and Managing Director to support various administrative tasks and ensure smooth operations across departments.
  • Facilitate guest experiences by arranging third-party services such as flights, transfers, and excursions, catering to their individual needs and preferences.
  • Collect and circulate guest feedback to relevant stakeholders, fostering continuous improvement in service delivery and guest satisfaction.

Qualifications:

  • A degree in Business Administration, Tourism Management, or a related field is preferred.
  • Minimum of 2 years of experience in a similar role.
  • Demonstrated ability to maintain accuracy and precision in administrative tasks, with a keen eye for detail to ensure the smooth execution of bookings and financial transactions.
  • Exceptional verbal and written communication skills, with the ability to interact professionally and effectively with colleagues, suppliers, guests, and property owners/managers.
  • Strong interpersonal skills and a collaborative mindset, capable of working cohesively as part of a small and busy team to achieve common goals.
  • Flexible and adaptable approach to work, with the capacity to multitask and prioritize tasks in a dynamic and fast-paced environment.
  • Familiarity with high-end travel and tourism in East Africa, including an understanding of the region’s attractions, accommodations, and customer preferences.
  • Basic knowledge of financial, sales, and marketing aspects of the travel and tourism business, including invoicing procedures, payment tracking, and financial reporting.
