About the Role
Generations Techzone is recruiting an Account Assistant for a full-time position based in Kenya. This role sits at the centre of the company’s financial operations, bridging daily transactional accounting with management reporting and inventory control. The Account Assistant at Generations Techzone will handle a wide range of accounting duties, from cash and bank reconciliation to journal entry preparation and stock variance monitoring.
This is a hands-on accounting position that requires attention to detail and familiarity with accounting systems like Zoho. You will work across multiple cost centres—including sales, purchases, petty cash, and inventory—and collaborate closely with the stores and management teams to ensure accurate financial records and timely reporting.
Key Responsibilities
- Reconcile daily transactions covering sales, purchases, expenses, and payments to ensure accounting accuracy.
- Maintain and organise accounting records and filing systems according to company standards.
- Prepare payment vouchers, receipts, invoices, and journal entries for posting into the accounting system.
- Perform daily reconciliation of cash, bank accounts, M-Pesa transfers, till numbers, and petty cash holdings.
- Monitor debtor and creditor accounts, follow up on outstanding payments, and track payment status.
- Support the preparation of financial reports and management accounts for review by senior staff.
- Assist with VAT, withholding tax, and statutory filing documentation and deadlines.
- Cross-check supplier invoices against purchase orders and goods received to identify discrepancies.
- Contribute to payroll processing and track staff expenses and reimbursements.
- Work with the stores department to reconcile reported sales against stock movements and identify variances.
- Verify stock transfer documentation between branches and ensure completeness.
- Record and report stock variances, damaged goods, returns, and missing inventory items.
- Assist in the valuation and reconciliation of inventory holdings.
- Update accounting records in Zoho with timely and accurate transaction data.
- Generate daily, weekly, and monthly financial reports for management and operational use.
- Maintain secure backups of all financial records and documentation.
- Support internal financial audits and checks as required by management.
Requirements & Qualifications
- Diploma or degree in Accounting, Finance, or a related field.
- Proficiency with accounting software, particularly Zoho or similar platforms.
- Strong understanding of double-entry bookkeeping, cash accounting, and general ledger principles.
- Experience with bank and cash reconciliation, VAT, and withholding tax compliance.
- Ability to prepare invoices, vouchers, and journal entries accurately and on time.
- Attention to detail and ability to work with large volumes of transactional data.
- Competence in inventory reconciliation, stock tracking, and cost accounting methods.
- Familiarity with payroll support, though specialized payroll experience is not required.
