About the Role

Food For Education is recruiting for an Office Administrator to join its Nairobi office on a full-time basis. The organisation works with vulnerable children across Kenya’s public school system, providing subsidized meals to over 15,000 students daily as part of its mission to reach one million children by 2025. As Office Administrator at Food For Education, you will manage the day-to-day administrative operations that enable this work to run effectively, acting as a liaison across finance, human resources, programs, and communications teams.

This is a hands-on role that requires someone organized, detail-oriented, and capable of managing multiple priorities. You’ll oversee front office operations, coordinate staff logistics, manage procurement and budgets, and implement systems that keep the office running smoothly. The role sits at the heart of organizational operations and demands both strategic thinking and practical execution.

Key Responsibilities

  • Manage the reception desk as the first point of contact for visitors, clients, and service providers; maintain office security by enforcing access control procedures and ensuring compliance with safety protocols.
  • Coordinate all aspects of staff travel, including flight and accommodation bookings, visa application support, and related logistics.
  • Oversee meeting room bookings and equipment; ensure spaces are prepared and usage standards are maintained across the organization.
  • Develop and maintain filing and archiving systems in collaboration with cross-functional teams; ensure records are organized, secure, and easily retrievable.
  • Manage the office supply inventory, including stationery distribution, kitchen supplies coordination with procurement, and equipment tracking; conduct regular audits and maintain an updated asset register.
  • Support the onboarding process for new staff, including office orientation, access credentials, identification cards, and parking allocation.
  • Monitor and manage the administration budget through cost-effective procurement practices; lead vendor sourcing, contract negotiations, and purchase approvals in line with organizational policies.
  • Drive digitization and automation of administrative processes; propose systems and procedures that improve efficiency and support high-priority projects.
  • Supervise Office Assistant staff to ensure operational efficiency; provide general administrative support including filing, photocopying, and communications.

Requirements & Qualifications

  • Diploma in Business Administration, Office Administration, Public Administration, or a related field.
  • Minimum three (3) years of professional experience in an administrative role.
  • Demonstrated experience managing front office operations and coordinating travel arrangements.
  • Strong organizational skills with the ability to prioritize competing demands and manage multiple projects simultaneously.
  • Proficiency in Microsoft Office applications and experience with standard office management systems.
  • Excellent written and verbal communication skills; ability to liaise effectively across departments.
  • Experience in procurement planning, budget monitoring, and asset management is an advantage.
