About the Role
Medecins Sans Frontieres (MSF) Eastern Africa is organizing the 2nd Regional Data Protection and Cybersecurity Symposium for Humanitarian Actors, themed ‘From Practice to Impact: Securing Humanitarian Data in a Digital-First Era’. The Project Assistant at Medecins Sans Frontieres (MSF) will deliver comprehensive administrative, logistical, stakeholder engagement, communications and event coordination support throughout the planning, delivery and reporting phases of this regional symposium. This is a full-time position based in Nairobi, reporting to the Data Protection Advisor.
The role sits within a humanitarian NGO environment where attention to detail, coordination across multiple stakeholders, and the ability to manage competing priorities are essential. You will work with NGOs, UN agencies, academic institutions and technology partners to ensure the symposium achieves its objectives. This Project Assistant position at Medecins Sans Frontieres (MSF) offers the opportunity to support critical humanitarian data protection work across East Africa.
Key Responsibilities
- Develop and maintain the symposium workplan and project tracker, ensuring all planning activities remain on schedule and within scope.
- Organize planning meetings, document action points and follow up on implementation to keep the project moving forward.
- Monitor budget allocations, process procurement requests and track service delivery timelines against agreed commitments.
- Manage stakeholder databases for participants, speakers, sponsors and partners; coordinate invitations, registration processes and confirmation workflows.
- Liaise with external organizations including NGOs, UN agencies, academia and technology partners to secure engagement and partnerships.
- Handle symposium communications including mailbox management, participant reminders, branding materials and website updates.
- Coordinate all logistics including venue, catering, accommodation, transport, volunteer management and data protection compliance for the event.
- Support speaker, moderator and panelist coordination; consolidate presentations and materials to prepare session agendas.
- Maintain risk and issue logs; prepare daily progress reports during final preparation phases and post-event documentation including lessons learned.
Requirements & Qualifications
- Diploma or degree-level qualification in Project Management, Events Management, Communications, Business Administration, Information Management or a related field.
- Minimum 2 years of experience supporting conferences, workshops or stakeholder engagement events in a professional or organizational setting.
- Experience working with NGOs, humanitarian organizations or international development partners is highly desirable.
- Strong organizational skills and demonstrated ability to manage multiple stakeholders and complex timelines simultaneously.
- Excellent written and verbal communication in English; ability to draft clear participant communications and coordinate with diverse audiences.
- Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and online collaboration tools such as Google Workspace or Teams.
- Proven ability to work independently and take initiative while collaborating effectively within multidisciplinary teams.
- Strong attention to detail, problem-solving orientation and capacity to deliver under tight deadlines.
