About the Role

We are seeking an Operations Specialist NGO Job WRI to join the World Resources Institute team in Kenya on a full-time basis. This position supports the P4G (Partnering for Green Growth) operations programme, managing financial administration, grants compliance, and day-to-day operational coordination. You will work across budget management, partner agreements, and administrative functions that keep the programme running smoothly.

The Operations Specialist NGO Job WRI role is central to ensuring financial accuracy, grant compliance, and organisational efficiency across all P4G initiatives.

Key Responsibilities

  • Manage day-to-day project finances by reviewing financial transactions, updating budgets in WRI’s financial management systems, and ensuring records remain current and accurate.
  • Monitor project expenditure against multi-year output-based budgets and flag discrepancies or risks to the Operations Manager.
  • Prepare financial reports and coordinate with audit teams during financial audits and compliance reviews.
  • Develop annual budgets that align with the workplan and results frameworks, and contribute to long-term financial planning including new proposal budgets.
  • Ensure P4G team compliance with all funding award terms and conditions by coordinating with partners and the grants management team.
  • Process, maintain, and amend subgrant and contract agreements with partner organisations, including payment administration and agreement modifications.
  • Monitor sub-awardee compliance with grant requirements, tracking timely submission of reports and audits.
  • Coordinate the submission of progress and financial reports on schedule, ensuring compliance with internal budgeting, contract, and procurement processes and deadlines.
  • Organise recruitment activities with HR, manage onboarding for new staff and consultants, and resolve operational issues as they arise.
  • Support the coordination of P4G events, workshops, and conferences with internal and external stakeholders.
  • Maintain digital records in SharePoint, ensuring all data is organised, current, and accessible to team members.
  • Provide ad-hoc administrative support to the Executive Director as required.

Requirements & Qualifications

  • Bachelor’s degree in business administration, finance, accounting, or a related field.
  • Minimum 3 years of full-time experience in project or organisational operations, finance, administration, scheduling, bookkeeping, or as an executive assistant within a non-profit organisation.
  • Proficiency in Outlook, Microsoft Word, Microsoft Excel, and Microsoft PowerPoint.
  • Demonstrated experience facilitating virtual meetings using Zoom or Microsoft Teams.
  • Experience working effectively with teams distributed across multiple geographic locations.
  • Proven ability to coordinate and organise events, workshops, and conferences with external partners and stakeholders.
  • Verbal and written fluency in English.
  • Experience with Workday human resources or financial software is advantageous.
