Key Responsibilities
- Deliver day-to-day administrative and coordination support to project teams working on construction and development sites.
- File, organize, and maintain all project documents and records in accordance with company standards.
- Prepare agendas before meetings, record minutes during discussions, and track action items to completion.
- Handle business correspondence, including drafting emails and letters on behalf of project leadership.
- Keep stakeholders informed by communicating project progress updates and key milestones in a timely manner.
- Support the creation of presentations, progress reports, and management summaries for internal and external review.
- Arrange and oversee project meetings, providing logistical and administrative assistance to internal and external attendees.
- Book travel, accommodation, and transport for project staff as required by project schedules.
- Monitor procurement requests and follow up on delivery of materials and equipment needed for projects.
- Act as a communication link between site teams and the Nairobi office to ensure operations run without disruption.
- Flag project risks and operational issues that need management intervention.
- Build and maintain working relationships with internal colleagues, contractors, suppliers, and partner organizations.
Requirements & Qualifications
- Bachelor’s degree in Project Management, Construction Management, Business Administration, Engineering, or a related discipline.
- Minimum two years of professional experience in a Chinese-funded construction company, real estate development firm, or similar organization.
- Solid understanding of construction processes, project execution frameworks, and industry best practices.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) with the ability to produce accurate reports and presentations.
- Valid Kenyan driving license and capability to drive independently to site visits and meetings.
- Demonstrated experience preparing professional business correspondence, reports, and presentations.
- Experience working in multicultural teams and international business settings is advantageous.
- Ability to communicate in Chinese is highly preferred.
