About the Role
Power Group Technologies Limited is recruiting a full-time Office Administrator to join its Nairobi headquarters. This is a core support function within an organization that delivers engineering, power, and technology solutions across East Africa. The Office Administrator will be responsible for coordinating multiple operational areas—from facilities and fleet management to corporate services and compliance—ensuring that day-to-day office functions run efficiently and all regulatory obligations are met.
The ideal candidate will bring strong organizational skills, vendor management experience, and a track record of managing facilities, fleet operations, and administrative systems in a regulated environment. This role reports to senior management and requires someone who can lead a small administrative team while maintaining meticulous records and upholding quality and safety standards.
Key Responsibilities
- Manage facilities operations, maintenance schedules, space allocation, security protocols, and utilities consumption to ensure optimal building performance.
- Oversee fleet operations including fuel management, vehicle maintenance, driver performance monitoring, and cost control across the corporate fleet.
- Supervise the reception desk, office supplies inventory, courier services, and general administrative staff to maintain efficient day-to-day operations.
- Establish and maintain administrative systems, document filing protocols, and office workflows to ensure smooth information flow across departments.
- Coordinate staff travel arrangements and corporate taxi services, including booking, scheduling, and vendor relationship management.
- Ensure all company licensing, permits, statutory registrations, and regulatory compliance requirements are current and properly documented.
- Manage contracts, company registry records, and vendor performance evaluations to support procurement and compliance functions.
- Coordinate with ICT service providers and monitor system performance; support implementation of ISO 9001 and ISO 45001 quality and health and safety management systems.
- Provide direct supervision and leadership to the administrative team, set performance standards, and foster a professional working environment.
Requirements & Qualifications
- Bachelor’s degree in Business Administration, Facilities Management, or a related discipline from an accredited Kenyan or international institution.
- Minimum 3 years of progressive experience in an Office Administrator or Facilities Manager role, preferably within the Power and Energy sector.
- Proven expertise in facilities management, fleet operations, and corporate services coordination.
- Demonstrated knowledge of Kenyan statutory requirements, licensing frameworks, and compliance obligations relevant to commercial office operations.
- Experience managing vendor relationships, procurement processes, and budget control to achieve operational cost efficiency.
- Proficiency in Microsoft Office applications and familiarity with office management or ERP systems.
- Strong team leadership, communication, and coordination skills with the ability to manage multiple priorities and supervise administrative staff.
- Human Resources management experience is an advantage but not essential.
