Office Administrator at CDL Human Resource – CDL Human Resource Kenya Job Details

About the Role

CDL Human Resource is recruiting for an Office Administrator to manage the operational backbone of their real estate office. This full-time position in Kenya blends traditional administrative duties with hands-on property management support, requiring someone who can balance client-facing communication with detailed behind-the-scenes coordination. The role suits professionals comfortable switching between reception duties, document management, and tenant relations in a property-focused setting.

The Office Administrator at CDL Human Resource will report to management and work across multiple functions. You’ll need strong organizational skills, comfort with basic financial record-keeping, and the ability to juggle competing priorities without losing attention to detail. Property management experience is valuable but not essential if your administrative foundation is solid.

Key Responsibilities

  • Welcome clients and visitors upon arrival, handle incoming telephone calls, and manage email correspondence with timely responses.
  • Maintain and update office calendars, book appointments, and arrange coordination for internal and external meetings.
  • Contact clients to gather feedback on services and inform them of newly available property listings.
  • Support marketing efforts by compiling property listing materials, creating promotional flyers, updating social media platforms, and executing email marketing campaigns.
  • Oversee day-to-day property management tasks including liaising with tenants, collecting rent payments, arranging maintenance and repair services, and resolving tenant complaints and inquiries.
  • Establish and maintain organized filing systems and ensure all property documents, lease agreements, and contracts are stored and accessible.
  • Coordinate property viewings, organize open house events, and manage logistics for other real estate-related activities.
  • Contribute to real estate transactions by drafting contracts, verifying documentation, and ensuring compliance with procedural requirements.
  • Handle routine office administration including procurement of supplies, upkeep of office facilities, and processing of incoming and outgoing mail.
  • Record basic financial transactions, maintain daily activity logs, and assist in tracking property-related financial information.

Requirements & Qualifications

  • Demonstrated ability to communicate clearly in writing and conversation, with strong interpersonal skills for client and colleague interaction.
  • Meticulous attention to detail and proven capability to organize multiple projects and deadlines simultaneously.
  • Working proficiency in Microsoft Office applications (Word, Excel, PowerPoint) or equivalent cloud-based tools such as Google Suite.
  • Foundational understanding of accounting principles and financial record maintenance.
  • Background in property management, real estate administration, or a similar office-based role (preferred but not required).
  • Capacity to work both independently on assigned tasks and collaboratively within a team environment under pressure.

What to Expect

  • A role that requires you to move between administrative tasks, client communication, and property-related coordination throughout each day.
  • Exposure to real estate operations and the chance to build expertise in property management systems and practices.
  • A position where organizational ability and reliability are valued and directly impact office functionality.
