About the Role
Pavago is recruiting an HR Specialist to take ownership of core human resources operations and guide employees through every stage of their employment journey. This is a full-time position based in Kenya, covering recruitment coordination, employee onboarding and offboarding, HRIS administration, payroll support, compliance management, and employee relations. The HR Specialist serves as the backbone of the organization’s people operations, ensuring accurate record-keeping, regulatory compliance, and consistent support for staff across all functions.
The role requires someone who can balance competing priorities—managing data accuracy in HR systems while remaining accessible and empathetic to employee needs. You will report to HR leadership and work closely with finance, recruitment, and management teams to keep the organization’s human resources foundation organized and compliant with labor regulations.
Key Responsibilities
- Support recruitment activities by publishing job openings across job boards, screening resumes, coordinating interview schedules with candidates, and managing early-stage candidate communications.
- Lead onboarding processes by preparing offer letters, new hire documentation packets, and orientation schedules; ensure completion of required compliance forms and tax documentation; and conduct structured offboarding procedures including equipment retrieval and system access removal.
- Maintain employee records and HRIS data using systems such as BambooHR, ADP, Gusto, Zenefits, or equivalent platforms; track paid time off, benefits enrollment, and employee status changes; generate reports on headcount, turnover, and compliance metrics for leadership review.
- Reconcile payroll data with finance and payroll teams, validate hours and deductions before processing, support benefits enrollment cycles, and respond to employee questions regarding compensation and benefits packages.
- Draft, review, and update HR policies, employee handbooks, and standard operating procedures; ensure organizational compliance with applicable labor laws and maintain audit-ready documentation for external compliance reviews.
- Serve as the primary point of contact for employee HR inquiries, support performance management processes, coordinate employee engagement initiatives, and escalate sensitive personnel matters to HR leadership with appropriate documentation.
- Coordinate mandatory training sessions and compliance certifications; track completion status of required training programs and development milestones across the organization.
Requirements & Qualifications
- Minimum 2 years of experience in HR support, HR operations, or related administrative roles.
- Demonstrated proficiency with HRIS platforms such as BambooHR, ADP, Gusto, Zenefits, or similar systems.
- Working knowledge of labor law compliance requirements and regulations applicable to the organization’s operating jurisdictions.
- Competency with Microsoft Office, Google Workspace, or equivalent productivity and collaboration tools.
- Strong organizational and detail-oriented approach to managing HR processes and employee data.
- Ability to communicate clearly with employees, leadership, and external partners while maintaining confidentiality and applying sound judgment on sensitive matters.
- Preferred: HR certification such as SHRM-CP or PHR; experience managing multi-state or international payroll; background in SaaS, professional services, or growth-stage companies; or demonstrated experience with HR process improvement or HRIS implementation projects.
