About the Role
AA Kenya is recruiting a Human Resources Officer – Operations to join its HR team on a full-time basis in Kenya. This position reports to the Human Resources & Administration Manager and carries responsibility for the day-to-day execution of payroll processing, statutory compliance, leave administration, benefits management, and the maintenance of accurate HR records and data.
The role sits at the operational centre of HR service delivery. It ensures that all payroll transactions are processed accurately and on time, that the company meets its legal obligations under Kenyan labour law, and that employees receive the support they need regarding compensation, leave entitlements, and welfare benefits. Key Responsibilities
- Manage end-to-end monthly payroll processing, including salary calculations, statutory deductions, and fund disbursements. Prepare and distribute pay slips and reconcile payroll accounts to resolve any discrepancies.
- Calculate, deduct, and remit all statutory contributions (NHIF, NSSF, PAYE, Housing Levy) on schedule. Prepare and submit statutory returns and reports to the relevant authorities as required by law.
- Stay informed of changes in labour and tax legislation that affect HR operations. Coordinate internal compliance reviews and audits to ensure adherence to current regulations.
- Administer employee leave entitlements, process leave applications, and maintain leave records and tracking systems. Process benefit claims promptly and resolve employee queries on leave and benefits.
- Coordinate annual benefits renewal and open enrolment processes, including medical insurance, group life assurance, and other welfare schemes available to staff.
- Maintain secure, accurate HR databases and employee records, including personal files, contracts, and statutory documentation. Generate HR reports and dashboards on headcount, turnover, leave balances, and other operational metrics.
- Ensure data integrity across all HR systems and comply with data protection regulations governing employee information.
- Handle employee onboarding and offboarding documentation. Respond to staff queries on payroll, leave, benefits, and HR policies. Support the development and rollout of HR policies and procedures.
Requirements & Qualifications
- Secondary school education (Form Four) or higher qualification in Human Resources, Business Administration, or a related field.
- Proven experience in payroll processing, statutory compliance, and HR administration within a Kenyan employment context.
- Working knowledge of Kenyan labour laws, statutory contributions (NHIF, NSSF, PAYE, Housing Levy), and tax obligations.
- Competence with HR information systems (HRIS) and payroll software; proficiency in Microsoft Excel and database management.
- Strong attention to detail and accuracy, particularly when handling financial data and statutory calculations.
- Ability to manage multiple HR transactions and deadlines simultaneously while maintaining data confidentiality and security.
- Clear written and verbal communication skills to interact with employees, line managers, finance teams, and external statutory bodies.
- Familiarity with leave management systems and benefits administration processes is advantageous.
