About the Role
A leading distributor of food and beverage ingredients is recruiting an HR, Administration & Executive Assistant to support human resources operations, office administration, and executive coordination. This is a full-time position based in Kenya, reporting directly to the Managing Director. The successful candidate will maintain HR compliance, manage day-to-day office functions, and provide high-level administrative support to senior leadership.
The HR, Administration & Executive Assistant Job (45-55K) combines three distinct functions: managing recruitment cycles and employee records, overseeing facilities and procurement, and serving as the Managing Director’s scheduling and communications hub. You will work across HR policy implementation, Kenyan statutory compliance, and executive-level coordination in a structured food and beverage distribution environment.
Key Responsibilities
- Manage recruitment workflows including candidate screening, onboarding, induction, probation reviews, and exit procedures.
- Maintain comprehensive employee records, employment contracts, leave documentation, and HR files in compliance with Kenyan labor requirements.
- Coordinate performance appraisals, disciplinary processes, and staff confirmations in line with company policy.
- Prepare HR reports covering attendance tracking, leave analysis, staff turnover, and workforce metrics for management review.
- Oversee daily office operations including supplies management, utilities, equipment maintenance, and facility services coordination.
- Manage the Managing Director’s calendar, meeting schedules, travel arrangements, and correspondence; prepare agendas, minutes, and briefing materials.
- Ensure workplace compliance with the Kenyan Employment Act, NSSF, NHIF, PAYE requirements, and Occupational Safety and Health standards.
- Serve as liaison between management and staff, handling employee inquiries, internal communications, and interdepartmental coordination.
Requirements & Qualifications
- Bachelor’s Degree in Human Resource Management, Business Administration, Commerce, or related field.
- Minimum 2–5 years of professional experience in HR, administration, or executive support roles.
- Proficiency in Microsoft Office Suite and familiarity with HR management systems.
- Demonstrated experience in FMCG, food and beverage, manufacturing, or distribution sectors (preferred).
- Strong report writing capability, organizational skills, and attention to detail.
- Ability to handle confidential information with professionalism and maintain strict integrity standards.
- Higher Diploma or certification in Human Resource Management, or membership with IHRM Kenya, is advantageous.
