About the Role

Key Responsibilities
- Manage the reception desk by welcoming clients and visitors with professionalism while protecting the firm’s public image and reputation.
- Handle incoming telephone calls and client inquiries, routing them accurately and responding to requests with efficiency.
- Create, maintain, and archive client case files within the registry system according to firm protocols.
- Retrieve files from the registry on behalf of advocates and legal staff, ensuring documents reach the correct person on schedule.
- Track file movements and maintain bring-up reminders in internal systems to prevent missed deadlines or misplaced documents.
- Input data into internal platforms, including the Wakili system, while maintaining accuracy and database integrity.
- Locate and correct misfiled or misplaced documents within the registry to preserve proper file organisation.
- Support office transitions, relocations, and operational setup activities; monitor and reorder office supplies as required.
Requirements & Qualifications
- Diploma or degree-level qualification in Business Administration, Office Management, or a related discipline.
- Minimum 4 to 5 years of working experience in front office administration, reception, customer service, or similar roles.
- Prior experience working within a law firm, legal practice, or professional services organisation is advantageous.
- Proficiency with Microsoft Office applications and demonstrated experience using database management systems.
- Ability to prioritise multiple tasks simultaneously and manage competing demands without compromising quality.
- Strong written and verbal communication skills, with a service-oriented approach to client and colleague interactions.
- Keen attention to detail, especially when handling confidential client information and legal case files.
- Ability to maintain confidentiality and manage privileged information responsibly and securely.
