About the Role
The Norwegian Refugee Council is recruiting for an Administrative Technical Assistant to join its operations team in Kenya on a full-time basis. This position combines core administrative functions with technical asset management and facility coordination, supporting the organisation’s humanitarian programmes across multiple compound locations. You will work within a structured support function portfolio, ensuring compliance with organisational policies while maintaining operational systems and security standards.
The Administrative Technical Assistant at Norwegian Refugee Council will be responsible for managing office documentation, coordinating IT services, overseeing asset inventories, and liaising with partners on facility and security matters. The role requires experience in humanitarian settings and familiarity with complex operational environments. This is an Administration position in Kenya that demands attention to detail, organisational discipline, and the ability to manage competing priorities.
Key Responsibilities
- Maintain compliance with Norwegian Refugee Council policies, tools, handbooks, and operational guidelines across all assigned functions.
- Coordinate and prepare casual and incentive staff payroll information, then submit records for management review and processing.
- Oversee security monitoring and asset safety across designated compounds including DMO, TVET, AEP, and Dagahaley locations, coordinating with partner organisations as required.
- Represent the organisation at compound management meetings and communicate operational updates to relevant stakeholders.
- Raise requisitions, receive stock, record inventory, and distribute office and accommodation supplies while maintaining adequate stock levels of consumables and assets.
- Arrange accommodation for staff and visitors, manage check-in procedures, and follow up on payment processing.
- Coordinate cleaning schedules and renovation work at Norwegian Refugee Council compounds and offices, supervising casual staff assignments and performance.
- Manage the asset register, ensure all equipment is registered according to Norwegian Refugee Council guidelines and donor requirements, and conduct quarterly physical asset verification.
- Process asset-related documentation including equipment check-in/check-out forms, waybills, donation certificates, and asset transfer records.
- Ensure utility payments for electricity and water are processed on time in collaboration with Finance and HR teams.
- Coordinate computer-related services, equipment maintenance, and software license renewals with the IT Coordinator based in Nairobi.
- Prepare and develop status reports as requested by management, with supporting documentation properly filed.
- Maintain health, safety, and security briefings for all staff and monitor compliance with security procedures and policies.
- Retain custody of office keys and ensure all health, safety, and security equipment remains available and operational.
- Perform additional duties as assigned by your line manager.
Requirements & Qualifications
- Minimum 2 to 3 years of relevant work experience in an administrative or safety and security role within humanitarian or recovery contexts.
- Documented track record of success in duties related to administration, asset management, or facility coordination.
- Proven experience working in complex and volatile operational environments.
- Bachelor’s degree in Business Administration, Information Technology, or related field; professional certifications in project management, risk assessment, or facility management are valued.
- Proficiency in English language, both written and verbal, at professional standard.
- Training or formal qualification in health, access, and security protocols.
- Demonstrated experience in both administrative and IT support functions.
- Knowledge of document management systems and office filing procedures.
