Key Responsibilities
- Execute typing, data entry, and information processing tasks to produce office documents that support decision-making and streamline daily operations
- Organise and safeguard office records and confidential information, ensuring secure storage and quick retrieval when needed
- Handle incoming emails, respond to administrative queries, and communicate operational matters on behalf of your supervisor to employees, students, and other stakeholders
- Work alongside your supervisor to implement and coordinate administrative initiatives, office procedures, and delivery of services
- Provide courteous, professional support to students, staff, and external visitors who approach the office
- Draft reports, compile committee minutes, and prepare official documents to professional standards
- Manage your supervisor’s calendar, book appointments, and send timely notifications about upcoming commitments and events
- Oversee day-to-day office services and operational workflows to maximise efficiency and consistency
Requirements & Qualifications
- Bachelor’s Degree in Office Administration, Office Management, English, Communication, or an equivalent qualification from a recognised university, with at least Second Class Upper Division or equivalent
- Minimum of 3 years of practical experience in administrative and secretarial work, including office management, records management, report writing, correspondence, and scheduling
- KCSE qualification with at least C+ grade or equivalent
- Typing speed of at least 50 words per minute
- Competence in shorthand writing
- Proficiency in Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Access, Microsoft Outlook, and internet applications
- Professional secretarial qualifications such as CPS (K) Final or recognised secretarial certificates are advantageous
