Key Responsibilities
- Answer and screen all incoming calls with professionalism, accurately transferring inquiries to the appropriate team members and maintaining detailed call logs.

- Coordinate domestic and international travel logistics for staff and guests, liaising with transportation providers, accommodation partners, and travel agencies to ensure seamless arrangements.
- Arrange complete travel packages for international visitors coming to Kenya, handling visa support, airport pickups, hotel bookings, and meal coordination with attention to detail.
- Process petty cash requests and vendor payments following proper authorization procedures, maintaining accurate financial records and building strong relationships with suppliers.
- Prepare meeting spaces by arranging catering, refreshments, equipment, and documentation; capture comprehensive meeting minutes when required by management.
- Monitor and replenish office inventory levels systematically, placing orders in advance to prevent supply shortages that could disrupt team productivity.
- Ensure the office is fully operational each morning by verifying utilities, internet connectivity, telephone systems, and other essential amenities are functioning properly.
Requirements & Qualifications
- Diploma or bachelor’s degree in Front Office Management, Business Administration, or a related field from a recognized institution.
- Minimum 2–3 years of hands-on experience in reception, front office, or administrative support roles in a professional environment.
- Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software systems.
- Excellent written and verbal communication skills in English; proficiency in additional languages is advantageous.
- Demonstrated ability to manage multiple competing priorities without sacrificing accuracy or attention to detail in a fast-paced setting.
- Professional telephone etiquette combined with genuine customer service orientation and ability to remain calm when handling difficult inquiries.
