About the Role
Chiromo Hospital Group seeks an Admin Assistant for its Nairobi facility to deliver front desk reception services and billing support on a full-time basis. The Admin Assistant will serve as the first point of contact for patients and visitors, balancing customer service excellence with accurate financial and administrative operations.

The organisation requires strong organisational skills, proficiency in hospital management systems, and the ability to manage multiple tasks in a healthcare environment. This full-time role in Nairobi combines reception duties, billing responsibilities, and administrative support functions across the hospital.
Key Responsibilities
- Greet patients, visitors, and clients professionally; register new patients and verify personal and insurance information accurately.
- Schedule, reschedule, and confirm patient appointments; direct enquiries to appropriate departments and healthcare providers.
- Answer and screen telephone calls; respond to patient questions and provide information about hospital services with accuracy.
- Generate patient invoices for consultations, procedures, laboratory work, pharmacy services, and other charges; process payments via cash, mobile money, cheque, and card.
- Issue official receipts for all payments; reconcile daily collections and prepare end-of-day cash reports.
- Record billing transactions in the hospital management system; verify insurance details and prepare insurance claims where applicable.
- Maintain confidentiality of patient records; follow up on outstanding balances in line with hospital policy.
- Update patient records in hospital databases; coordinate communication between patients, clinicians, and other departments; manage filing, photocopying, and document scanning as required.
Requirements & Qualifications
- Diploma or Certificate in Business Administration, Health Records, Front Office Management, Accounting, Finance, or a related field.
- Minimum 2 years’ experience working in a hospital, clinic, or healthcare facility.
- Experience using hospital management systems and billing software is preferred.
- Proficiency with Microsoft Office applications and healthcare information systems; strong accuracy and attention to detail.
- Excellent customer service, verbal, and written communication skills; ability to multitask and work under pressure.
- Basic accounting and bookkeeping knowledge; experience handling cash and preparing financial reconciliations is an advantage.
- Professional appearance and conduct; honest, trustworthy, and reliable with strong ethical standards.
- Training in medical billing or healthcare administration is an added advantage.
