Administrative Intern(Inventory, Accounting & Data Entry) at The Chambers Federation – The Chambers Federation Kenya Job Details
About the Role
The Chambers Federation is recruiting an Administrative Intern(Inventory, Accounting & Data Entry) to support critical backend operations across finance, asset management, and data systems. This is a full-time internship position based in Nairobi, designed for recent graduates or final-year students seeking hands-on experience in administrative and financial processes. The Federation operates as an impact investment and entrepreneurial incubation firm, backing talented entrepreneurs driving social change across Sub-Saharan Africa. You will report to the administrative and finance team and contribute directly to the accuracy and organisation of company records.
The role bridges three core functions: maintaining digital data integrity through the Odoo enterprise system, tracking physical and consumable assets across the organisation, and ensuring all financial transactions are receipted and reconciled correctly. This is a detail-heavy position requiring systematic thinking and commitment to accuracy standards. If you are organised, analytical, and capable of managing multiple data streams without supervision, this internship offers real responsibility in an organisation with clear growth potential.
Key Responsibilities
- Enter sales, expenses, and operational data into the Odoo system with 100% accuracy; maintain and update all digital databases to reflect current business activity.
- Track fixed assets and consumable inventory, conducting regular physical stock counts and auditing recorded figures against actual holdings.
- Issue official receipts for all incoming payments and reconcile daily receipt records against bank statements and system records to identify and resolve discrepancies.
- Perform regular audits of data entry work to catch errors, duplicate entries, and inconsistencies before they propagate through financial reports.
- Conduct market research to inform internal pricing decisions and assess brand visibility in relevant sectors.
- Coordinate with other departments to resolve data queries and ensure consistent record-keeping across all operational areas.
- Meet strict weekly reporting deadlines by compiling inventory, receipt, and data quality summaries for management review.
Requirements & Qualifications
- Currently in final year of study or recently graduated with a degree (BA/BSc) or higher national diploma (HND) in Business Administration, Finance, Marketing, or a closely related field.
- Hands-on experience in data entry roles; previous experience with Odoo or similar enterprise resource planning systems is a strong advantage.
- Demonstrated ability to manage inventory systems and asset tracking, whether through coursework, internships, or volunteer roles.
- Exceptional attention to detail with a proven track record of maintaining 100% accuracy in financial records and numerical data.
- Capacity to work independently, prioritise tasks, and meet weekly deadlines without frequent supervision.
- Personal commitment to women’s empowerment and alignment with the Federation’s impact-driven mission.
What to Expect
- You will work in a small, organised office environment with clear processes and systems in place; the role emphasises accuracy and reliability rather than multitasking under chaos.
- This is a learning role within a family-run organisation, so mentorship and feedback on your work will be regular; you will see the direct impact of your data management on the company’s decision-making.
