About the Role

Unga Holding, a leading manufacturer and distributor of nutrition products across Eastern Africa, is recruiting an Administration Assistant for its Nairobi office. This is a full-time position focused on delivering operational and administrative support to keep the central support office running efficiently. The successful candidate will manage office systems, coordinate schedules, handle correspondence, and support senior management with a range of administrative tasks.

The Administration Assistant at Unga Holding will be the backbone of daily office operations, ensuring that meetings are scheduled, files are organised, vendors are managed, and communication flows smoothly between departments and external stakeholders. You will report to senior management and work across multiple teams to maintain professional standards and support business continuity.

Key Responsibilities

  • Manage day-to-day office operations and monitor supplies inventory, including stationery and consumables, raising purchase requisitions as needed.
  • Coordinate office maintenance, cleanliness, and repairs through facilities teams and external vendors to maintain a safe, professional working environment.
  • Schedule internal and external meetings, appointments, and multi-stakeholder engagements; prepare meeting rooms, arrange catering, and manage virtual links via MS Teams or Zoom.
  • Record meeting minutes, document action points, and follow up with department heads on deliverables and timelines.
  • Handle all incoming and outgoing correspondence (emails, letters, phone inquiries) with professionalism and maintain confidentiality of business records and sensitive information.
  • Maintain physical and digital filing systems that are logically organised, securely stored, and easily accessible for retrieval.
  • Prepare, format, and edit corporate reports, presentations, and official documentation while ensuring version control and alignment with company branding.
  • Assist with processing invoices, tracking delivery notes, and managing purchase orders in coordination with procurement and finance teams; track office operational budgets and flag variances to management.
  • Arrange local and international travel itineraries, including flight bookings, hotel accommodations, and ground transport for staff.
  • Support internal and external audit processes by organising and retrieving required administrative documentation.

Requirements & Qualifications

  • Bachelor’s degree in Business Administration, Secretarial Studies, Office Management, or a related field; professional certification in secretarial or administrative studies is advantageous.
  • Minimum 1 year of experience as an Administrative Assistant or Executive Assistant in the FMCG (Fast-Moving Consumer Goods) sector.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and MS Teams.
  • Working knowledge of ERP systems such as SAP.
  • Strong written and verbal communication skills with excellent attention to detail.
  • Ability to prioritise multiple tasks, manage time effectively, and maintain professionalism in a confidential capacity.
  • Interpersonal and stakeholder management skills with the ability to work collaboratively across departments.
