About the Role
Britam is recruiting an Administrator – Digital & Technology Office to serve as the operational and coordination centre for the Chief Digital & Technology Officer (CDTO). This is a full-time position based in Nairobi. The successful candidate will function as the primary liaison between the CDTO, ICT leadership, internal departments, business units, and external vendors, ensuring the office operates with efficiency, clear communication, and strict adherence to organizational governance standards.
The Administrator – Digital & Technology Office at Britam will provide end-to-end administrative support to the Group ICT function, managing complex coordination tasks, sensitive documentation, and executive-level engagements. The role demands a detail-oriented professional capable of handling confidential information, managing multiple priorities simultaneously, and maintaining professional standards across all stakeholder interactions.
Key Responsibilities
- Serve as the first point of contact for the Chief Digital & Technology Officer; screen, manage, and prioritize incoming correspondence, telephone calls, and visitor enquiries, escalating matters as appropriate.
- Coordinate administrative support for ICT and Digital strategy initiatives, including tracking action plans, monitoring project milestones, managing deliverables, and maintaining governance documentation in line with organizational standards.
- Prepare and collate Executive Committee and Board papers relating to ICT and Digital matters; liaise with risk, compliance, data protection, and information security functions as required.
- Manage the CDTO’s calendar, prioritize engagements, resolve scheduling conflicts, and organize logistics for all meetings, vendor sessions, governance forums, and executive sessions.
- Handle receipt, distribution, and dispatch of correspondence; develop and maintain both paper-based and electronic filing systems to ensure accurate document management and easy retrieval.
- Process expenses, credit card reconciliations, purchase requisitions, and contract administration documentation in compliance with ICT and organizational policies.
- Coordinate local and international travel arrangements for the CDTO, including flight bookings, accommodation, itineraries, visa processing, and related logistics.
- Attend ICT leadership, management, and governance meetings; record accurate minutes, circulate promptly, and track action items to completion.
- Coordinate ICT and Digital events, workshops, vendor forums, and executive engagements by providing full administrative and logistical support.
- Support the preparation, compilation, and timely submission of ICT and Digital reports, dashboards, and presentations through liaison with relevant teams.
- Receive, collate, and track emerging ICT and Digital issues, risks, and escalations from stakeholders, ensuring appropriate follow-up and documentation.
- Assist in recruitment, onboarding, and induction processes for the ICT and Digital teams, including coordination of documentation and schedules.
Requirements & Qualifications
- University degree in Business Administration, Information Technology, Management, or a related discipline.
- Minimum 4–6 years of professional experience providing executive administrative support to a senior leader or department head, ideally within an ICT, Digital, or technology environment.
- Professional certification or training in administration, project coordination, or ICT governance is advantageous.
- Demonstrated understanding of ICT operations, digital transformation initiatives, technology governance, and enterprise processes.
- Advanced proficiency in Microsoft Office applications (Word, PowerPoint, Excel, Outlook).
- Strong organizational and time management capabilities; ability to prioritize competing demands and meet tight deadlines.
- Excellent records and information management skills with meticulous attention to detail.
- Strong written and verbal communication abilities; capacity to prepare professional executive-level documentation and correspondence.
