Brites Management is recruiting an Office Administrator for its Nairobi headquarters. This is a full-time position responsible for managing core administrative functions that keep the office running smoothly. The successful candidate will coordinate office operations, maintain records systems, and provide support across multiple departments. The Office Administrator Job involves day-to-day operational oversight, vendor management, document administration, and cross-departmental coordination. You’ll work directly with management and teams across Operations, Finance, Procurement, Human Resources, and Sales to ensure efficient workflows and compliance with company procedures.
Key Responsibilities
- Oversee daily office operations to maintain efficiency and ensure all systems function effectively.
- Procure, track, and manage office supplies and equipment; maintain vendor relationships and service contracts.
- Coordinate facility maintenance, cleaning schedules, and safety protocols to sustain a secure and organised workspace.
- Create and refine administrative processes and workflows to increase productivity across departments.
- Manage incoming mail, phone calls, emails, and visitor inquiries with professionalism and accuracy.
- Establish and maintain organised filing systems—both physical and digital—ensuring data security and confidentiality.
- Prepare meeting minutes, reports, presentations, and formal correspondence on behalf of management.
- Provide administrative support to Operations, Finance, Procurement, HR, and Sales; coordinate meetings and company events.
- Support HR with staff onboarding paperwork, employee record maintenance, and employee welfare logistics.
- Monitor office expenditures, track budgets, and ensure compliance with company administrative policies and workplace regulations.
Requirements & Qualifications
- Diploma or Bachelor’s degree in Business Administration, Office Management, Management, Human Resources, or related field.
- Minimum 3–5 years of administrative experience, ideally in manufacturing, industrial, or production sectors.
- Proven track record supporting multiple departments and coordinating office operations.
- Strong working knowledge of office administration procedures, records management, and filing systems.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Excellent organisational, communication, and time management skills.
- Ability to handle confidential information and maintain professional discretion.
