About the Role

Corporate Staffing is recruiting an Accountant & Admin Assistant for a growing natural foods manufacturer based in Nairobi. The company produces nutrient-dense packaged foods including breakfast cereals, snack bars, energy bites, crackers, burger patties and ice creams distributed across Kenya’s retail network. This is a full-time position offering a gross salary of between Kshs 60,000 and 80,000 per month.

You will manage the complete accounting cycle while providing administrative support to the business. The role demands someone with strong organisational abilities who can prioritise multiple tasks in a structured environment. You’ll report directly to management and work closely with production, sales, and procurement teams to maintain accurate financial and operational records.

Key Responsibilities

  • Process accounts payable and accounts receivable transactions end-to-end, maintaining accuracy in all entries and payment schedules.
  • Invoice customers on a daily basis, track customer statements, and follow up on outstanding payments to reduce overdue balances.
  • Record and verify inventory levels monthly, perform stock reconciliations, and identify discrepancies between system records and physical counts.
  • Prepare cost of goods sold reports, perform product costing analyses, track product wastage, and conduct variance analysis against projections.
  • Monitor cash flow across all bank accounts and mobile money platforms, recording deposits and withdrawals to reconcile daily positions.
  • Reconcile supplier accounts, investigate variances, and resolve billing discrepancies promptly with vendors.
  • Compile monthly management accounts, including bank reconciliations, expense breakdowns, and financial summaries for leadership review.
  • File statutory returns on schedule, including VAT, PAYE, NSSF and NHIF submissions to comply with Kenyan tax and regulatory requirements.
  • Assist in budget preparation, cash flow forecasting, and monitoring of actual spending against approved budgets.
  • Strengthen internal controls governing cash handling, inventory management, and financial processes to prevent errors and fraud.
  • Oversee procurement of inventory stock, maintain optimal stock levels, and assess supplier performance and delivery reliability.
  • Coordinate with production and sales teams to ensure production data, dispatch records and customer deliveries are accurately captured in the accounting system.
  • Manage office supplies, equipment procurement and general administrative functions for the business.
  • Maintain organised filing systems for invoices, receipts, contracts and company documents in both physical and digital formats.
  • Support HR functions including leave record maintenance, staff file management, and new employee onboarding coordination.
  • Schedule internal meetings, manage company communications, and maintain office calendars.
  • Prepare weekly cash position reports and other routine management reports as requested.
  • Provide financial and operational analysis to support business decision-making by management.

Requirements & Qualifications

  • Bachelor’s degree in Accounting, Finance or related field is required.
  • Minimum five years of hands-on experience working in the manufacturing industry.
  • Professional accounting certification such as CPA or ACCA is preferred but not mandatory.
  • Demonstrated proficiency in accounting software systems, particularly QuickBooks or similar platforms.
  • Strong organisational and time management abilities with proven capacity to juggle multiple priorities.
  • High attention to detail and accuracy in all financial and administrative work.
  • Excellent written and verbal communication skills with the ability to interact professionally with colleagues, suppliers and customers.
  • Solid understanding of Kenyan financial regulations, tax compliance requirements and generally accepted accounting principles.
  • Ability to complete tasks independently with minimal supervision while remaining resourceful when challenges arise.
