About the Role

Administrative Support at United Nations Environment Programme (UNEP) is a full-time position based in Nairobi, located within the Industry and Economy Division’s Materials and Systems Innovation Unit. UNEP serves as the leading global environmental authority, setting the international environmental agenda and promoting the integration of sustainable development across the United Nations system. This role supports the division’s work in sustainable materials management, circular economy, and life cycle thinking.

The Materials and Systems Innovation Unit brings together data, science, and knowledge networks to help governments and engage with industry and finance sectors in developing environmental policies and practices. As Administrative Support at United Nations Environment Programme (UNEP), you will be the backbone of project operations, ensuring compliance with UN regulations and supporting efficient delivery across all administrative and financial functions.

Key Responsibilities

  • Deliver administrative, financial, and legal support to ensure project activities are implemented in compliance with UN rules, efficiently, and on schedule
  • Manage contracts, budgets, and travel logistics in alignment with UN regulations and institutional requirements
  • Maintain and organize all project documentation to safeguard institutional integrity and audit readiness
  • Coordinate the administration of large inter-governmental meetings, including logistics, scheduling, and participant management
  • Process and verify financial documents, invoices, and contractual agreements according to UN financial protocols
  • Support project partners and stakeholders with timely administrative guidance and operational assistance
  • Work with Enterprise Resource Planning (ERP) systems to track budgets, expenses, and procurement activities
  • Prepare reports and maintain records that demonstrate compliance with organizational and donor requirements

Requirements & Qualifications

  • High school diploma or equivalent qualification
  • A first-level university degree in finance, accounting, business administration, public administration, or related field (desirable)
  • Minimum five years of professional experience in administration, finance, or contract management
  • Proven expertise working with Enterprise Resource Planning (ERP) systems (required)
  • Demonstrated experience organizing and administering large inter-governmental meetings
  • Proficiency in Microsoft Office applications, particularly Excel for data management and reporting
  • Strong organizational skills with meticulous attention to detail in document handling and record-keeping
  • Prior experience with the United Nations, international organizations, or multilateral agencies (desirable)
