Shine Maritime specializes in the end-to-end delivery of humanitarian relief supplies, oil & gas materials, and services. The company operates in river logistics, warehousing, supply chain management, manufacturing, and maintenance of river boats/barges. Additionally, it offers consulting, forwarding & clearing, and air/road transport services.

Job Brief:

We are seeking a reliable and professional Receptionist with strong administrative assistant skills. The ideal candidate will be responsible for welcoming visitors, answering phone calls, and providing administrative support to various departments. This role requires excellent communication, organizational, and multitasking skills.

Education & Experience:

  • Diploma or Bachelor’s Degree in Business, Marketing, or Supply Chain Logistics Management (or an equivalent field).
  • Additional certification in Administration or a related field is a plus.
  • Proven experience as a Receptionist or Administrative Assistant.

Qualifications:

  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other relevant software.
  • Ability to handle confidential and sensitive information with integrity.
  • Detail-oriented with strong problem-solving skills.
  • Ability to work independently and in a fast-paced team environment.
  • Professional etiquette and appearance.

Key Responsibilities:

  • Report to the Business Development Director or other relevant managers.
  • Greet and welcome visitors professionally.
  • Answer and direct incoming phone calls to the appropriate departments.
  • Provide administrative support, including scheduling appointments and organizing meetings.
  • Manage office rooms, facilities, and supplies.
  • Maintain a clean and organized reception and office area.
  • Handle clerical duties such as filing, data entry, and record-keeping.
  • Manage incoming and outgoing mail and packages.
  • Assist with special projects and additional assigned tasks.
  • Collaborate with internal teams and external vendors/suppliers.
  • Produce high-quality documentation that meets applicable standards.
