About the Role
Highlands Drinks Limited is recruiting a People Operations Associate for a full-time position based in Kenya. This role sits within the HR operations function and focuses on the day-to-day administration of employee lifecycle processes, workforce records management, and HR operational support across the organisation. The People Operations Associate at Highlands Drinks Limited will work closely with the People & Culture team and internal stakeholders to ensure accurate record-keeping, timely execution of HR processes, and consistent application of company policies.
As a mid-sized operations role, this position requires attention to detail, organisational discipline, and the ability to manage multiple HR administrative tasks simultaneously. You’ll be the operational backbone of several HR workflows, handling everything from employee onboarding and exit documentation to leave tracking and payroll data preparation.
Key Responsibilities
- Execute day-to-day HR operations including onboarding, confirmations, transfers, exits, and employee documentation to ensure timely and accurate processing of workforce changes.
- Maintain accurate, up-to-date employee records, HR databases, personal files, and workforce information in line with company standards and legal compliance requirements.
- Coordinate preparation, issuance, and filing of HR documentation including employment contracts, appointment letters, employee correspondence, and operational HR materials.
- Manage employee onboarding activities including induction coordination, collection of required documentation, system access setup, and orientation programme delivery.
- Track and administer leave, attendance, absenteeism, days off, overtime records, and related workforce operational data with accuracy and consistency.
- Support payroll preparation by validating and submitting workforce data on time, including records of new hires, exits, attendance, and employee changes.
- Coordinate administration of employee medical, welfare, and insurance benefits in liaison with employees, service providers, and internal departments.
- Generate weekly and monthly HR operational reports covering headcount, attendance, leave movements, and employee records for management review and decision-making.
Requirements & Qualifications
- High school certificate (or equivalent qualification) as a minimum entry requirement for Administration in Kenya roles; further HR or business administration certification is advantageous.
- Proven experience in HR operations, employee administration, or similar administrative support roles within a structured organisation.
- Proficiency with HR management information systems, employee databases, spreadsheet applications, and document management tools.
- Strong organisational and time management skills, with the ability to prioritise multiple HR processes and deadlines accurately.
- Excellent written and verbal communication skills; ability to correspond professionally with employees, external providers, and internal teams.
- Demonstrated commitment to confidentiality, accuracy, and proper handling of sensitive employee information and HR records.
- Knowledge of Kenyan labour law, statutory reporting requirements, and HR compliance standards is highly desirable for Administration jobs in Kenya.
