Position: Payroll Officer

As a Payroll Officer, your primary responsibility will be to efficiently and accurately manage the payroll process. This includes collaborating with external partners such as payroll processing platforms and government authorities, as well as internal departments like Finance, PeopleOps, and Legal. You will also be responsible for consistently reporting earnings data and other payroll-related information and ensuring compliance with government regulations.

Duties & Responsibilities:

  1. Oversee and facilitate the timely and precise execution of monthly payroll operations, which include:
    • Handling payroll-related expenses.
    • Managing tax payments and reconciliations as necessary.
    • Calculating and inputting payroll data.
    • Updating employee details and deductions within the payroll system.
    • Conducting data entry, maintaining records, and performing necessary analytics.
    • Carrying out month-to-month payroll reconciliations.
    • Reviewing payroll journal entries for accuracy.
    • Performing general ledger to payroll reconciliations.
  2. Ensure accurate and punctual processing of payroll while adhering to all statutory regulations and company policies.
  3. Communicate relevant developments clearly and effectively to internal stakeholders, including teams in People, Finance, and Legal.
  4. Collaborate with the People and Finance departments to support various initiatives, such as transfer pricing, time-tracking, records management, people analytics, People data privacy, and systems.
  5. Review changes in employee data, such as new hires, promotions, status changes, and terminations.
  6. Handle Leave of Absences, liabilities, and leave provisions as required.
  7. Assist in implementing payroll-related projects initiated by the People team, ensuring accountability for all agreed-upon deliverables.

Qualifications and Experience:

  • Minimum of 8 years of experience as a payroll administrator.
  • Familiarity with large payroll platforms like ADP or Paychex.
  • International Payroll Certification is a plus.
  • Proficiency in using GitLab.
  • A shared commitment to our values and working in alignment with them.

Education and Skills:

  • Bachelor’s Degree, preferably in HR, accounting, or finance.
  • At least 4 years of experience managing payroll in a diverse HR environment spanning multiple countries.
  • CPA K / ACCA qualification is an added advantage.
  • Membership in IHRM or a similar reputable HR professional organization is advantageous.
  • Subject matter expertise in HR systems, processes, pay, and employment legislation in Kenya, Rwanda, Uganda, Tanzania, and Zambia.
  • Knowledge of payroll procedures and HR systems.
  • Strong process discipline and a focus on quality.
  • Problem-solving skills and a proactive attitude.
