We are recruiting an HR & Office Admin Officer to join our team in Kenya on a full-time basis. The successful candidate will be the backbone of our HR function, ensuring compliance with Kenyan labour regulations while maintaining smooth office operations and supporting employee welfare initiatives.
The HR & Office Admin Officer Job encompasses a broad range of responsibilities spanning recruitment, employee records management, statutory compliance, and administrative coordination. You will report directly to senior management and serve as a key contact for all staff across the organisation. This is a role suited to someone with attention to detail, knowledge of Kenyan employment law, and the ability to manage multiple tasks simultaneously in a structured environment.
Key Responsibilities
- Oversee the full recruitment lifecycle including vacancy advertising, candidate shortlisting, interview scheduling, and reference verification to build a strong candidate pipeline.
- Prepare employment contracts, offer letters, and onboarding documentation; facilitate new employee orientation and induction programmes.
- Maintain comprehensive and accurate employee records in both physical and digital formats; ensure all personnel files meet statutory filing requirements.
- Compile HR reports covering headcount, leave balances, absenteeism patterns, and staff turnover to support management decision-making.
- Collect and process attendance records, overtime data, and leave documentation to support timely and accurate payroll execution.
- Monitor and ensure compliance with Kenyan statutory obligations including tax withholding, social security contributions, and labour law requirements.
- Manage office administration tasks including scheduling, correspondence, document filing, and coordination of office-related logistics.
- Support employee welfare programmes and handle routine HR enquiries from staff regarding leave entitlements, benefits, and company policies.
Requirements & Qualifications
- Diploma or Bachelor’s degree in Human Resources Management, Business Administration, or a related field.
- Minimum 2–3 years of hands-on experience in human resources administration or office management roles.
- Working knowledge of Kenyan employment law, tax regulations, and statutory compliance requirements.
- Proficiency with HR information systems and MS Office applications including Excel for data reporting.
- Demonstrated ability to maintain confidentiality when handling sensitive employee and company information.
- Strong organisational skills and capability to prioritise multiple concurrent tasks without supervision.
- Clear written and verbal communication skills; ability to liaise effectively with staff at all levels and external organisations.
