About the Role
Peoplelink Consultants Ltd, a consultancy services firm registered in Kenya, is recruiting a Dispatch Assistant for its Nairobi office. This is a full-time position within the Driving & Logistics sector, offering a structured role for someone with logistics experience who can manage day-to-day dispatch operations. The position reports to the Dispatch Manager and forms a critical part of the fleet and delivery coordination team.
The Dispatch Assistant at Peoplelink Consultants Ltd will work in a fast-moving logistics environment where accuracy, attention to detail, and communication are essential. You will coordinate between drivers, customers, and management to ensure goods move efficiently and safely from warehouse to delivery point. Key Responsibilities
- Plan, schedule, and coordinate daily dispatch and delivery activities, ensuring all shipments leave on time.
- Oversee loading procedures and confirm timely dispatch of finished goods to customers.
- Monitor and document fuel consumption across all company trucks, then compile comprehensive monthly fuel reports.
- Verify timely renewal of vehicle documents, licenses, insurance policies, and county operating permits for full compliance.
- Manage police-related issues involving company vehicles and drivers, serving as the primary point of contact for such matters.
- Conduct random calls and route verifications to monitor driver and turn boy attendance and on-road performance.
- Receive and respond to staff concerns raised by drivers and turn boys, escalating issues as needed to management.
- Report all truck accidents to the insurance provider without delay and maintain accurate accident records.
- Track insurance claim processing and follow up to ensure timely reimbursement of valid claims.
- Maintain organised records of dispatch logs, delivery notes, proof of delivery documents, and supporting paperwork.
- Investigate customer complaints related to deliveries and work toward swift resolution.
- Assist the Dispatch Manager in collating monthly performance reports on dispatch operations.
- Account for and reconcile all petty cash disbursed to staff members.
- Complete additional tasks assigned by the Dispatch Manager as required.
Requirements & Qualifications
- Diploma qualification in Logistics, Supply Chain Management, Business Administration, or a related discipline.
- Minimum 2–3 years of hands-on experience in dispatch, logistics, or fleet operations roles.
- Proven experience in a manufacturing environment is preferred.
- Solid understanding of transport regulations, insurance claims procedures, and fleet management best practices.
- Strong organisational skills with the ability to manage multiple concurrent tasks without compromising accuracy.
- Excellent written and verbal communication skills to liaise with drivers, customers, and internal teams.
- Proficiency in Microsoft Office applications, particularly Excel for data management and reporting.
- Working knowledge of dispatch tracking systems or similar logistics software.
- Demonstrated ability to work effectively under pressure and meet tight deadlines.
- Problem-solving mindset with the capacity to address operational issues independently.
