About the Role
Kericho National Polytechnic is recruiting an Administrative Secretary to provide comprehensive office support and administrative coordination to the Principal. This is a full-time position based in Kenya, offering the chance to work in a tertiary education institution where organizational efficiency directly supports institutional leadership and decision-making.
The Administrative Secretary will serve as a key operational hub for the Principal’s office, managing schedules, correspondence, records, and day-to-day administrative functions. The role requires strong organizational abilities, discretion, and the capacity to prioritize multiple tasks in a structured educational environment.
Key Responsibilities
- Maintain and manage the Principal’s calendar, scheduling appointments and meetings to ensure coordinated planning and punctual attendance.
- Organize and archive administrative records and correspondence to enable quick retrieval of essential information and documents.
- Oversee office services and conditions, including cleanliness and workspace arrangement, to maintain a professional and functional working environment.
- Establish and maintain a secure, well-organized filing system that protects document confidentiality and restricts unauthorized access.
- Handle incoming telephone calls, directing them appropriately and serving as a communication link between executive offices and external parties.
- Safeguard the security and confidentiality of all office records, documents, and equipment.
- Take dictation in shorthand and produce typed transcriptions of correspondence and communications as requested.
- Receive visitors and clients professionally, directing them to the appropriate office and ensuring a courteous experience.
- Prepare administrative documentation for committee meetings, including Council and Board of Governors sessions.
- Monitor and track inventory of office supplies and equipment for the Principal and Deputy Principal offices.
Requirements & Qualifications
- Typewriting III or equivalent qualification in Computerized Document Processing.
- Shorthand III certification with a minimum speed of 100 words per minute.
- Business English III or demonstrated communication skills at an equivalent level.
- Office Management III or Business Management qualification.
- Secretarial Duties II and Office Practice II certifications.
- A minimum of two years of professional experience in a secretarial or administrative support role.
- Certificate in Computer Applications from a recognized institution.
- Strong communication, interpersonal, and time management skills; competence in report writing and organizational procedures.
- An HND qualification is preferred and will be considered an advantage.
