About the Role

Gap Recruitment Services Limited is seeking a full-time Admin Assistant to join its team in Kenya. Key Responsibilities

  • Answer and screen incoming calls, greet visitors, and handle enquiries with courtesy and professionalism

  • Establish and maintain filing systems, office records, and confidential documents in accordance with organisational policy
  • Process petty cash requests, reconcile accounts, and ensure accountability and proper documentation
  • Order office supplies, liaise with external service providers, run errands, and manage day-to-day support functions
  • Monitor office conditions to ensure the workspace is clean, organised, and conducive to productivity at all times
  • Track pending assignments, confirm task completion, and ensure senior management instructions are actioned without delay

Requirements & Qualifications

  • Diploma or Degree in Business Administration, Office Management, Secretarial Studies, or a closely related field
  • Minimum 3 years of hands-on experience in an administrative support function in a demanding office environment
  • Prior experience supporting senior managers or working in front-office roles is preferred
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), email platforms, and document preparation tools
  • Demonstrated experience managing petty cash, reconciliation, and office recordkeeping
  • Strong written and verbal communication skills; ability to compose clear, professional correspondence
  • Ability to work under pressure, meet tight deadlines, and remain productive when managing concurrent tasks
  • High level of personal presentation, maturity, and discretion when handling confidential information
