Coptic Hospital is a Level 6 mission hospital under Coptic Orthodox Church. The Coptic Orthodox is the oldest church in the world. It was founded by St. Mark the Evangelist, author of the second gospel in Alexandria, Egypt in the year 61 A.D. The word “Copt” means Egyptian. - The Treatment, Research and Expert Education (TREE) program has been conducting research in Kenya for
- over 15 years. TREE has contributed to HIV medical research and has developed HIV treatment, prevention,
- and management capacity through training, and clinical mentorship. TREE has an outstanding opportunity
- for an Administrator. We are looking for an Administrative Assistant who is motivated, committed, and
- honest to fill the position in a research study focused on pragmatic clinical trials to optimize the cervical
- cancer screening, management, and precancer treatment cascade for women living with HIV. The
- Administrator will report directly to the Principal Investigator.
Administrative Assistant
- The administrative assistant will assist the administrator in the day-to-day program office operations,
- ensuring that the research program operates within the organization’s SOPS and support program staff in
- order to deliver in their respective roles.
Responsibilities
- Provide assistance to the administrator for all the work that needs to be completed on the ground
- Provide administrative assistance and support to the clinical team on the ground
- Responsible for updating, organizing, naming, and arranging files (receipts, inventories, study files)
- Responsible for petty cash and reconciliations
- Assist the administrator to plan trainings and conferences with the international team
- Manage and review inventory, supplies and expenditures in a way that is cost saving and cost efficient
- Ensure that computers and equipment are serviced by a prequalified supplier
- Prepare monthly reports for patient reimbursements, photocopy, travel and call logs.
- Present these reports during the weekly administrative meetings
- Collect, review, and report all logs that are maintained by the department
- Use Slack as a means of communication between staff, co-investigators, and PIs
- Plan, organize, attend, and take minutes for all TREE program meetings.
- Represent the program office to the public and any other external organizations
- Provide creative approaches and strategies to administrative systems
- Perform any other duties and responsibilities that may be given by the Principal Investigator
Qualifications
- Degree or Diploma in Business Administration and Management.
- Relevant Experience
- Experience in research will be an added advantage
- Minimum of 3 years relevant experience in an administrative field
- Relevant Skills
- Excellent demonstrated accuracy skills
- Good oral and written communication skills
- Computer skills required with good skills in MS Word
- Able to multitask
- Can work in a multicultural setting
- Demonstrate leadership qualities
- Able to come up with ideas or ways of solving problems

- Terms Of Employment
- 12 months contract with the potential to extend the contract based on work performance and project
- funding.
Compensation is negotiable within a relevant grade, based on educational levels, relevant experience and
demonstrated competency.
