About the Role
TakaTaka Solutions is recruiting an Accounts Payables – Intern to join its finance team in Kiambu. This is a full-time internship position suited to candidates with a diploma qualification and at least one year of relevant experience. The successful candidate will support the accounts payable function, handling invoice processing, supplier reconciliation, and transaction posting across the organization’s accounting systems.
TakaTaka Solutions operates a waste management and recycling business, collecting waste and redirecting 95% of it for recycling through in-house operations and local partnerships—among the highest recycling rates globally. The finance team plays a key role in ensuring accurate transaction recording and timely supplier payments that support this mission.
Key Responsibilities
- Receive supplier invoices and verify that all required information is present, including supplier details, transaction dates, item descriptions, tax documentation, withholding tax schedules, approvals, and supporting paperwork.
- Execute three-way matching procedures by comparing invoices against purchase orders, quotations, delivery notes, goods received notes, and service confirmations, then flag discrepancies for resolution.
- Record invoices in the company’s accounting system (QuickBooks or ERP) with accurate supplier coding, general ledger account allocation, cost center or project assignment, and correct tax classification on a daily basis.
- Maintain an invoice control log to track all incoming invoices, confirm timely entry into the system, and ensure no invoices fall outside the organization’s cut-off period.
- Update payables tracking sheets on a daily or weekly schedule with current invoice status and outstanding payment information.
- Attach or link supporting documentation to every payment entry in the tracking system, including the original invoice, approval records, proof of payment, and withholding tax certificates.
- Process petty cash claims once approval is granted and record petty cash transactions correctly in the accounting ledger.
- Organize and maintain both physical and digital filing systems for invoices, approvals, payment evidence, and reconciliation reports to support audit requirements.
- Monitor all transactions to ensure compliance with internal approval matrices and escalate any breaches of policy or authorization limits.
Requirements & Qualifications
- Diploma-level qualification in accounting, finance, or a closely related discipline.
- A minimum of one year of practical experience in accounts payable, finance administration, or a similar accounting role.
- Proficiency in accounting software, particularly QuickBooks or enterprise resource planning (ERP) systems.
- Ability to match and reconcile documents accurately and identify discrepancies between invoices, purchase orders, and delivery records.
- Strong organizational skills and attention to detail when maintaining filing systems and transaction logs.
- Competence in spreadsheet applications for tracking and reporting payables data.
- Understanding of Kenya tax requirements, including withholding tax (WHT) calculation and compliance.
- Reliability in meeting daily and weekly transaction processing deadlines.
