Job Purpose:

The primary objective of the accountant is to ensure the achievement of all financial reporting Key Performance Indicators (KPIs) in alignment with the organization’s strategic corporate goals. The accountant is entrusted with the responsibility of managing the organization’s financial and statutory reporting, as well as overseeing all financial data processing.

Duties and Responsibilities:

  • Ensure accurate and timely completion of all statutory and mandatory financial reporting.
  • Prepare reconciliations for the cashbook, creditors, debtors, and other balance sheet ledger accounts.
  • Compile management accounts and related reports for review by the Financial Executive (FE).
  • Act as the custodian of the fixed asset register.
  • Investigate reporting discrepancies when necessary and escalate as required.
  • Supervise payment processes conducted by the finance team based on cash flow forecasts.
  • Ensure compliance with external auditor requirements.
  • Accurately and punctually handle company tax reporting.
  • Prepare and review all tax returns and computations to be submitted to the Kenya Revenue Authority (KRA) and provide advice to the Financial Manager (FM).
  • Coordinate tax audits with KRA and address any tax variances or queries.
  • Prepare and submit Quarterly Tax Estimates to KRA.
  • Ensure efficiency in the payroll process.
  • Ensure timely receipt of all payroll inputs.
  • Review and send payroll to the country CEO for review.
  • Maintain the accounting system with up-to-date payroll information.
  • Ensure the timely reporting and payment of government payments related to payroll.
  • Reconcile payroll accounts.
  • Ensure the monthly upload and tracking of the budget.
  • Upload the budget into the Enterprise Resource Planning (ERP) system.
  • Monitor actual expenses versus budget by cost center, providing commentary and action plans.
  • Manage fixed assets and stocks.
  • Update the fixed asset register monthly.
  • Conduct weekly stocktaking at shops, farms, and hatcheries.
  • Oversee quarterly fixed asset verification.
  • Manage monthly stock verification at all sites.
  • Coordinate annual external audit stock counts.
  • Track entries to the stock adjustment account.
  • Be responsible for maintaining the risk register.
  • Update the risk register for finance monthly.
  • Collaborate with all functions to ensure monthly updates of the register.
  • Coordinate the development of Standard Operating Procedures (SOPs) for finance.

Key Performance Indicators:

  • Timely reporting adhering to the reporting calendar.
  • 100% accuracy in all reports.
  • External audit rating (items with adverse reports and quantified acceptable level of adjustments – as set).
  • No TRA penalties due to delays.
  • Timely release of payroll.
  • Accurate information in the accounting system.
  • Correct balance sheet balances.
  • Budgets uploaded in ERP.
  • Budget versus actuals commentary.
  • Monthly stock verification documents received from all sites.
  • Accurate Fixed Asset Register (FAR) on a monthly basis.
  • Explanation provided for variances in stock adjustments.
  • Monthly updated risk register.
  • SOPs established for finance.

Qualification, Experience, Skills, and Traits:

  • Bachelor’s degree in accounting or finance.
  • A master’s degree (completed or ongoing) is an added advantage.
  • CPA (Part III) or ACCA qualification.
  • 5 years of accounting experience with at least 3 years of relevant experience in an Agri-Business setup.
  • Proficiency in accounting systems and controls.
  • Previous experience in a startup company is advantageous.
