Program Assistant at Flone Initiative – Flone Initiative Kenya Job Details
The Program Assistant will support the effective delivery of Flone Initiative’s programs in line with our strategic vision. This role blends office-based coordination with hands-on field engagement, ensuring meaningful participation of communities and stakeholders in advancing inclusive and gender-responsive transport systems.
Approximately 50% of this role is field-based, involving direct engagement with communities, transport operators, policymakers, and program beneficiaries.
Applicants with backgrounds in Urban Planning & Transport, Social Work, Gender Studies, Project Management, Research, or related fields—and experience working directly with women in informal or grassroots settings—are strongly encouraged to apply.
Key Responsibilities
Program Implementation, Mobilization & Field Engagement
- Support community and stakeholder mobilization to ensure meaningful participation.
- Assist in implementing activities in line with approved workplans, timelines, and budgets.
- Maintain strong field presence to understand lived realities, risks, and opportunities.
- Identify challenges faced by beneficiaries and propose practical, context-responsive solutions.
- Support participatory approaches and manage group dynamics for inclusive engagement.
Planning, Workshops, Meetings & Logistics
- Support planning and coordination of workshops, trainings, community dialogues, and meetings.
- Prepare agendas, participant lists, mobilization plans, and follow-up trackers.
- Coordinate logistics including venues, materials, travel, attendance registers, and documentation.
Communication & Stakeholder Coordination
- Maintain consistent communication with partners, community representatives, and consultants.
- Support internal coordination across programs, finance, procurement, communications, and leadership.
- Draft correspondence, briefing notes, and partner updates.
Documentation, Knowledge Management & Learning
- Ensure accurate documentation of meetings, field activities, and decisions.
- Support filing, data organization, and archiving of project materials.
- Document lessons learned, good practices, and emerging insights.
- Support cross-project knowledge sharing to strengthen institutional memory.
Monitoring, Evaluation, Learning & Reporting (MEL)
- Support implementation of MEL frameworks.
- Collect qualitative and quantitative field data using approved tools.
- Analyze and synthesize data to inform adaptive programming.
- Contribute to donor, narrative, and internal reports and presentations.
Compliance, Finance & Internal Controls
- Support compliance with organizational policies, donor requirements, and safeguarding standards.
- Assist with expense tracking, documentation, and basic financial reconciliation.
- Support procurement and administrative processes with accurate documentation.
Partnerships, Fundraising & Visibility
- Provide field-based data, case studies, and success stories for resource mobilization.
- Support mapping of partners and allies aligned with Flone’s mission.
- Assist with donor visits, learning exchanges, and partner engagements.
Advocacy, Policy & Systems Change
- Support policy engagement through data collection and stakeholder coordination.
- Track policy developments related to inclusive and gender-responsive transport.
- Amplify community voices in advocacy and decision-making spaces.
Risk Management, Safeguarding & Wellbeing
- Support identification and reporting of programmatic and safeguarding risks.
- Promote safe, respectful, and inclusive environments.
- Uphold feminist, anti-oppressive, and ethical principles in all engagements.
Organizational Support & Continuous Improvement
- Support internal planning, reflection, and learning sessions.
- Contribute ideas to improve systems and ways of working.
- Support onboarding of consultants, volunteers, or interns as needed.
- Perform other duties aligned with Flone Initiative’s mission.
Education & Experience
- Minimum of a Diploma in Urban Planning & Transport, Social Work, Gender Studies, Project Management, Development Studies, Research, or a related field.
- Practical experience working with communities—especially women and underserved groups—is a strong advantage.
- Training in Monitoring & Evaluation, community facilitation, safeguarding, or participatory research is an asset.
